Executive Assistant | Makati, Philippines

As the Executive Assistant to the CEO/Founder (Moubin), you will provide extensive administrative support, helping him to manage daily responsibilities, acting as liaison to employees, departments and external stakeholders. Your goal will be to help him be more efficient and effective by taking care of the below tasks, allowing him to focus on strategic initiatives.


The role will have a significant amount of secretarial and administrative duties including collation, compilation and distribution of reports, conducting research and responding to requests for information from the business and external stakeholders and maintaining invoice and expense management for the Executive Management team.


You will have a passion for Tech innovation, problem solving and want to be part of finding new and impactful ways to assist Moubin.


What you will do:

  • Executive Support: Manage Moubin’s calendar, schedule meetings, handle emails and calls, and act as a liaison with teams and stakeholders. Work to prioritise and resolve conflicts and competing demands whilst proactively scheduling key meetings with internal and external individuals
  • Travel Management: Arrange travel plans and briefing documents for Moubin’s trips
  • Personal Management: Organisation of personal calendar alongside adhoc tasks
  • Project & Event Management: Plan and oversee projects and events from time to time, track progress, and manage special assignments to ensure timely completion
  • Financial Management: Handle daily office tasks like expenses and vendor relations, assist with HR functions, and support high-priority initiatives
  • Business Analysis: Create, format and edit presentation decks etc when needed
  • Be flexible with occasionally working outside regular hours for urgent tasks

The experience and skills you will have:

  • Previous C-Suite experience supporting senior executives in fast-paced, high pressure environments
  • Proven ability to manage complex scheduling and travel
  • You will thrive in a high-pressure, fast-paced environment
  • Exceptional communication and organisational skills
  • Capability to manage responsibilities independently
  • Proficiency with Google Workspace (Docs, Sheets, Calendar) and tools like Slack
