Urgent! WFH Operation assistant/Admin assistant

We are seeking a detail-oriented and proactive operation assistant/administrative assistant to join our team. The ideal candidate will be responsible for managing various administrative tasks related to co-payment receivables, QR code scanning status reports, and Google review processes. Additionally, you will ensure smooth communication between teams and provide regular updates on social media platforms.
Key Responsibilities:
- Co-Payment Receivable & QR Code Scanning: Ensure accurate reporting and follow-up on co-payments and QR code scanning statuses.
- Google Review Management:
- Tag telemarketers for follow-up on Google reviews for jobs installed the previous day.
- Send post-installation info packs to customers, including the installer's contact info.
- Reply to Google reviews and upload relevant photos.
- Handle escalations for negative Google reviews and ensure proper feedback collection.
- Job Progress Monitoring:
- Check that all SV-approved jobs have been moved to the pending installation tab from the previous day. If any jobs are missing, include them in your daily report.
- Perform a weekly check on jobs approved over the weekend.
- Follow up with team leaders if telemarketers fail to action Google reviews within 48 hours of being tagged.
- Post-Installation Tasks:
- Send VBA and COES documentation to customers two weeks after installation.
- Provide weekly summaries of 5-star Google reviews, ensuring all plumbers and supervisors are copied in communications.
- Social Media Updates:
- Post daily updates on Facebook, Instagram, and Google Business pages.
Requirements:
- Proven experience in an administrative or support role.
- Excellent attention to detail and ability to manage multiple tasks.
- Strong communication skills and ability to collaborate across teams.
- Familiarity with Google reviews and social media management is a plus.
- Proficiency in MS Office and basic customer management systems.
- College graduate: Bachelor of Business Administration.
