The Impact you’ll make

Executive Operations Management

• Manage and organize executive tasks and priorities using project management tools


• Coordinate meetings, document key takeaways, and ensure follow-through


• Handle critical communications and maintain efficient workflows


• Create and optimize Standard Operating Procedures (SOPs)

Data Systems Administration

• Process and manage complex data sets using various tools


• Execute SQL queries and manage database operations


• Configure and maintain data feeds via APIs


• Implement and manage CRM systems and automation

Process Optimization

• Identify and implement workflow automation opportunities


• Maintain data accuracy and security compliance


• Streamline communication between stakeholders


• Develop and document improved operational processes

Stakeholder Coordination

• Act as liaison between the executive team, vendors, and clients


• Manage vendor relationships and data integration projects


• Ensure clear communication and expectation management


• Provide support for key stakeholder meetings

Measure of Success

• Successful implementation of automated workflows reducing manual tasks by 50%


• Maintain 98% accuracy in data processing and integration tasks


• Achieve and maintain 24-hour response time for priority communications


• Complete process documentation and SOP creation for core operations

Skills, Knowledge and Expertise

Required:

• 2+ years experience in operations or technical coordination roles


• Proven experience with data manipulation tools and CRM systems


• Demonstrated proficiency in SQL and database management


• Strong background in project management tools (ClickUp, Jira, or similar)


• Experience in process automation and workflow optimization


• Advanced proficiency in Excel (Pivot Tables, VLOOKUP) and Google Workspace


• Proven track record of maintaining data confidentiality and security protocols


• Experience with CRM platforms (HubSpot, Salesforce, Zoho, or Airtable)

What to expect...


Work Setup:

• Remote position


• Must have a reliable internet connection and a quiet workspace


• Required to provide own computer with Intel Core i5 or something similar or higher operating system

Working Hours:

• Monday to Friday, 9 AM to 5 PM EST (Eastern Standard Time)


• 40 hours a week
