We are seeking a highly organized and detail-oriented Rollout Administrator. This position plays a crucial role in providing administrative support to both the Project Manager/s and Operations Manager. This position involves creating and maintaining project-related documentation, overseeing procurement processes, and ensuring effective communication within the team. The Rollout Administrator is responsible for coordinating tasks that contribute to the successful execution of rollout projects.

Job Type: Full time

Work Arrangement: Onsite (Clark, Pampanga)

Work Schedule: Monday to Friday

Work Hours: 40 hours per week

Experience level: Intermediate to Mid-level

Qualifications

  • Bachelor's degree in business administration or any related field.
  • Preferably with at least 2-4 years of relevant experience.

Must have:

  • Proficient in Excel with intermediate knowledge of its functions and features.
  • Strong data entry skills with a high level of accuracy.
  • Experience in managing emails and schedules through Outlook.
  • Excellent command of the English language, both written and verbal.

Nice to have:

  • Knowledgeable in iAuditor software.
  • Experience in Procurement.

Key Responsibilities:

  • Maintain and update rollout trackers, including the Rollout Master Tracker, ensuring all data is accurate and up to date.
  • Coordinate the release of work orders to subcontractors for project implementation.
  • Schedule and organize PMT labor to ensure timely delivery of services.
  • Place orders for equipment hire and ensure timely procurement of necessary resources.
  • Update jobs with any variations, ensuring all changes are documented and communicated to relevant stakeholders.
  • Download and manage completion documentation from the iAuditor portal.
  • File and organize all project-related documentation in Simpro and SharePoint locations for easy retrieval.
  • Mark jobs as ready for invoicing, ensuring all required information is accurately captured.
  • Assist with financial processes, including preparing consolidated invoices and managing other financial documentation.
  • Perform various ad-hoc administrative duties as required to support the rollout team.
