Responsibilities / Duties:

Administrative Functions

  1. Ensures that job functions and workforce/personnel requirements are met.
  2. Ensures that all personnel under his area are well-trained and well-versed with the requirements of the project and/or tasks they are assigned with.
  3. Ensures that all instructions, responsibilities, and operational detail are clearly understood by the concerned personnel.
  4. Collaborates with other departments in implementing plans, procedures, development, its administrative and logistical support requirement for the execution of the project and its continuous improvement.
  5. Directs the team on dealings with the client, customers and suppliers’ operational concerns.
  6. Proactively coordinates with client’s representatives regarding issues or concerns as to the project.
  7. Conducts a periodic evaluation or feedback of activities as required.
  8. Coordinates training and motivational programs needed to enhance the quality of the Operations Staff.
  9. Ensures that all documents, forms and materials are complete, accurate and correct.
  10. Ensures that the company is well represented by his leadership by ensuring work plans are in place by providing timelines, completion dates as well as ensuring that liquidations are done on time.

Planning and Coordination

  1. Plans and evaluates project requirements and provides an action plan in executing the same.
  2. Advises and coordinates with concerned departments, all project particulars, i.e. manpower, materials, premium funds, and other logistical support for the assigned project(s).
  3. Ensures that his area of supervision is properly staffed through labor planning strategies.
  4. Ensures that coordination to other departments are made in due time.
  5. Cascades the action plan, its requirements, expectations, and targets to employees under his supervision.
  6. Oversees, controls and monitors project implementation based on the approved operational plan and cost guidelines in accordance with proper schemes / processes stated in the Project Brief.
  7. Prepares monthly coverage plan to ensure that the operation is running within the parameters required and set in the Project Brief.
  8. Ensures that activation guidelines and standards in the Project Brief are met all times.

Management Support

  1. Ensures the proper and strict implementation of the administrative, accounting and personnel policies of the Company.
  2. Oversees and supervises the activities of Area Managers and Staff under his direct supervision to ensure the efficiency and effectiveness of their given tasks and for the attainment of the departmental as well as the corporate objectives.
  3. Manages the HR and Admin Personnel on his area of supervision for concerns relating to staffing and personnel audit.
  4. Performs other duties and responsibilities that may be assigned by the direct superior from time to time.
