Job Summary
The Legal Secretary will perform secretarial services and assist the Vice President for Legal Affairs and Compliance on administrative tasks and office management.
Key Result Areas (KRA)
- Corporate Services and Housekeeping: Extends support in filing, record keeping, and retrieval of legal documents, which includes, among others, minutes of meeting, board resolutions, and contracts.
2. Secretarial Services:
2.1 Extends support role to legal activities in relation to Department’s telephone calls, calendar of activities, meetings, filing management, among others, in the Company.
2.2 Assists lawyers and non-lawyers in the delivery, dispatch, handling, submission, filing and scheduling of communications, pleadings and reportorial requirements with other companies and the governmental agencies concerned.
2.3 Handles moderately complex functions involving securing approval on requests and documentation with top management officers and other department in the Company.
3. Office Administration:
3.1 Provides support in handling document processes within and without the Company, which may involve signature routing, notarization and coordination with inter-departments of the Company.
3.2 Initiates request of documentary requirements and office supplies from other departments in the Company needed by the lawyers and non-lawyers in the performance of their functions.
3.3 Prepares and coordinates billing requirements of external counsel and other governmental agencies concerned and facilitate payment thereof.
Qualifications
- Bachelor’s Degree in Secretarial Administration or equivalent;
- Excellent communication and organizational skills;
- With at least two (2) years functional work experience in legal secretarial services;
- Has previously worked in the legal department of a listed company or in a law firm is preferred, but not required; and
- Willing to work onsite at Makati City.
