JOB SUMMARY:

The HR Admin Assistant provides administrative and operational support to the Human Resources team, focusing on maintaining employee records, assisting with benefits administration, managing the Applicant Tracking System (ATS) for documentation and data accuracy, and supporting other HR-related processes. This role ensures that HR operations run efficiently and that employee information is accurate, organized, and confidential.

JOB RESPONSIBILITIES:

HR Systems & ATS Support

  • Maintain and update employee records and data within the HRIS/ATS systems.
  • Ensure accuracy and completeness of employee information, documents, and workflows in the ATS.
  • Generate reports and dashboards as required for HR metrics and compliance tracking.

Benefits Administration

  • Assist in processing employee enrollments, changes, and terminations in company benefit programs (e.g., health insurance, government-mandated benefits).
  • Coordinate with benefit providers and ensure timely communication of updates and requirements.
  • Help in tracking and reconciling benefit-related billing and documentation.


HR Operations & Documentation

  • Support the preparation and organization of HR documents such as employment contracts, memos, and clearance forms.
  • Maintain confidentiality and proper filing of personnel records (digital and/or physical).
  • Assist in onboarding and offboarding processes from an administrative perspective (e.g., account setup, document collection, exit clearance).

Employee Support

  • Respond to employee inquiries regarding HR policies, benefits, and procedures.
  • Assist in coordinating HR communications, announcements, and schedules for trainings or events.

Other Administrative Tasks

  • Provide general administrative support to the HR team as needed (e.g., scheduling meetings, preparing reports).
  • Help ensure compliance with internal policies and government labor requirements.


JOB QUALIFICATIONS:

  • Bachelor’s degree in human resource management, Psychology, Business Administration, or a related field.
  • 3+ years of experience in HR administration or a similar role preferred.
  • Familiarity with HR systems or Applicant Tracking Systems (ATS) is an advantage.
  • Knowledge of labor laws and employee benefits administration.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
