We are seeking an energetic and highly self-motivated Executive Assistant to the Chief of Staff. The ideal candidate has previous experience in an administrative role supporting initiatives and projects from the management up to the executive level. The Executive Assistant will be responsible for managing the Chief of Staff’s or the site’s schedule and coordinating with various internal teams and external stakeholders. In addition to the existing responsibilities, the candidate will be expected to oversee and manage facilities-related tasks and projects.

You must have good communication skills, a passion for startups or tech, and an ability to identify opportunities and action plans for the divisions and groups the Chief of Staff works with.

This is an onsite role that will require you to visit office locations.

Responsibilities

  • Work closely with the Chief of Staff to provide support as needed
  • Ensure assigned tasks are completed in the most efficient manner and that reports are well-communicated
  • Arrange travel, appointments, and manage the Chief of Staff’s calendar or diary
  • Collaborate with the Chief of Staff and/or Shared Services Group Heads in identification and analysis of strategies for projects and initiatives.
  • Resolve concerns and queries addressed to the Chief of Staff or the division with professionalism and patience
  • Effectively oversee and assist with the management of projects under the Chief of Staff or the division
  • Provide clients, internal teams, and customers support and ensure queries and concerns are satisfied.
  • Oversee the management of locations under Loft Spaces including arranging the schedule of the crew, booking internal and external visitors, and inventory of supplies
  • Effectively communicate and update on daily, weekly, and monthly tasks
  • Ad hoc tasks as needed

Skills And Experience

  • Bachelor’s degree in Marketing, Communication Arts, Science, or Technology
  • Exceptional Microsoft Office and/or GSuite skills
  • Passion or keen interest in technology
  • Ability to communicate and collaborate with the team and other business groups
  • Knowledge of Salesforce is desired
  • Knowledge of Basecamp is desired
