MAIN PURPOSE OF THE ROLE:
Responsible for the efficient and smooth running of the Executive Board Member's office – keeping the agenda, balancing commitments and prioritizing (internal & external obligations) aiding him/her to respect deadlines. A proactive mindset and ability to evaluate and prioritize, flexibility and amenability with all stakeholders.
Focused on supporting an individual executive or small number of executives in their day-to-day office activities.

KEY DELIVERABLES:
Administration
- First contact point for all stakeholders (internal & external)
- Obtaining and organizing information for use in conferences, speeches, and reports as requested by the executive
- Editing, proofing, formatting, document design/production, form filling, and data entry
- Scheduling/coordinating meetings, diaries, and travel arrangements
- Coordinate and manage the agenda, prioritise, organise and prepare meetings incl. the appropriate documents & prepare induction programs
- Identify, anticipate, prioritise incoming mail and prepare information required to ensure timely follow-up
- (i.e. for correspondance, speeches, minutes, presentations, etc.)
- Screen phone calls, handle or reorientate where possible
- Receive relay telephone messages from internal and external sources, managing the time/interaction executives have with internal and external sources
- Give administrative support for arrivals and departures; assistance with private matters as required
- Have greater knowledge of the organization (i.e., financial processes, authorization processes, etc.) - Business Acumen
- May do some research and basic authoring/drafting of documents/correspondence
- Act as liaison officer and giving support to respective units to ensure timely delivery of required documents
- Filter and relay timely information that our superior needs to know or to be aware of.
- Should be aware of external (economic/politic) and internal affairs which are of high interest. Proactivity.
- Organise domestic and international business trips in line with Nestlé Travel Policy and manage expense reports
- Organise and coordinate logistics of special events/workshops/conferences (different level of implication)
- Consolidate departmental/unit budget planning process act as liaison with the controller
- Ensure the Procurement process and payment terms in line with the Corporate guidelines are respected
- Proven experience (over 5 years) as Senior Assistant within the FMCG space or similar experience in a comparable role
- Applies practical knowledge of job area typically obtained through advanced education and work experience
- Proficiency level in English & local, market language(s). Any additional language would be a plus
- Excellent knowledge of the corporate structures/functions and role
- Knowledge of cultural protocols and ability to work in a multicultural environment
- Strong networking skills, interpersonal, stakeholder management & comunication skills
- Autonomous, Multi-tasking capabilities & strict confidentiality
- Complex problem solving capacity - stress resilient - empathy - assertiveness & autonomy
