The Admin Clerk assists the Administrative Manager with personnel tasks, manages employee records, prepares reports, handles recruitment, issues company IDs, and performs various administrative duties. Here’s a summary of the duties and responsibilities of an Admin Clerk:
- Assist the Administrative Manager with various tasks and functions.
- Attend to walk-in job applicants, verify their pre-employment requirements, and schedule interviews.
- Prepare Personnel Actions and travel authorities for employees.
- Manage the filing and encoding of new employees’ 201 files, and maintain records for probationary employees.
- Handle the filing of personnel records (201 files) for the branch.
- Process re-instatement for suspended employees and record personnel movements for rank-and-file employees.
- Encode Notices of Decision and prepare regular reports regarding manning matters (monthly, quarterly, half-yearly, and yearly).
- Monitor the renewal of contracts for probationary and contractual employees.
- Facilitate the issuance of company IDs and bus passes to employees.
- Summarize consultation and medical bills for accounting.
- Calculate benefits and settlements for separated, resigned, or retired employees.
- Manage office supplies, including requests and distribution.
- Prepare written exams for Driver and Conductor applicants.
- Process renewals for radio licenses (handset and land base).
- Distribute uniforms for Drivers, Conductors, and Mechanics.
- Perform other administrative tasks as assigned by the Administrative Manager, Branch Manager, VP - Administration, or other authorized officers.
