We are looking for Admin Assistant to support the Project Team in achieving project objectives and client requirements by providing efficient, accurate, and timely administrative support.

Key Service Accountabilities
- Set the strategic direction and meet the business objectives of the performance centre
- Align the operational group with Jacobs’s expectations with regard to culture, systems, processes and KPIs
- Drive improvement in client satisfaction and deliver projects to the satisfaction of both the client and Jacobs.
- Provide comprehensive administrative support to the Project Team, ensuring smooth daily operations on site.
- Assist in organizing and facilitating project-related functions, meetings, and events, including other reasonable administrative requests as directed by the Line Manager.
- Liaise with clients, contractors, and subcontractors on administrative matters such as site entry requirements, scheduling of meetings, HSE orientations, and required training.
- Coordinate with suppliers, vendors, and subcontractors to secure documentation needed for accreditation, purchase orders, and payment processing.
- Assist in organizing and arranging transportation, accommodation, and mobilization requirements for the Project Team.
- Support the preparation and submission of expense reports and other documentation in compliance with Jacobs systems and procedures.
- Maintain high standards of work quality, accuracy, and attention to detail, minimizing errors in all administrative tasks.
- Work cooperatively and respectfully with Project Team members, clients, contractors, and subcontractors to foster positive working relationships.
- Demonstrate flexibility in work approach and workload, with strong multitasking skills and the ability to work independently and proactively.
- Bachelor’s degree in Business Administration or related field, or equivalent relevant experience.
- Experience in an administrative or project support role, preferably in a project‑based or site environment.
- Experience coordinating with clients, contractors, suppliers, and subcontractors on documentation, site access, and scheduling.
- Strong organizational and multitasking skills, with high attention to detail and accuracy.
- Ability to work independently, proactively, and flexibly in a fast‑paced environment.
- Excellent communication and interpersonal skills, with a collaborative work approach.
- Proficient in Microsoft Office and familiar with expense reporting and document control systems.
