Position Summary:

Accounts payable and financial admin duties to get our financial accounts completed accurately and on time each month.

Key Responsibilities:

Major Accountabilities (the main functions for each project)

  • Enter all supplier invoices/bills from email into Xero on time every month.
  • Update and manage PO in VOLT including, ‘Confirm’, ‘Receipt’.
  • Variance management of PO/Bills by following the documented process/SOP. Update the SOP as necessary as approved by your manager.
  • Manage and keep up to date the [email protected] email inbox. Aim for inbox 0 meaning it’s 100% up to date.
  • Effectively use and understand Xero to extract any data you need to provide update to suppliers or internal staff relating to payments/bills/ AP.
  • Lead communication around AP to suppliers
  • Bank Reconciliation
  • Identify and address discrepancies on supplier bills, credit notes etc.
  • Report any errors to your manager.
  • Report on the status of accounts payable and receivable.
  • Update internal accounting databases and spreadsheets

Future Accountabilities: (possible duties that can be delegated and trained when you are ready to take on more):

  • Reconcile Credit Card Transactions
  • Balance Sheet Reconciliation
  • Monthly business report pack
  • Budget Management
  • Project P&L reporting
  • Product & Service Cost Management
  • Coil Management

Leadership, Teamwork and General:

  • Escalate problems, risks and opportunities for improvement regularly.
  • Confront the brutal facts daily – don’t refrain from giving feedback and having tough conversations.
  • Teamwork: regularly communicate with the team as required. Support and give constructive feedback.
  • Continuous Improvement: regularly document and communicate problems and lessons learnt for root-cause analysis and continuous improvement to prevent any reoccurrence.
  • Controlling changes and recommending preventative action in anticipation of potential problems

Leadership and Teamwork

  • Be a team player in achieving business goals, participation in team meetings
  • Contribute new ideas/feedback as required
  • Maximize efficiencies and minimize costs
  • Communication and organizational skills required

Specific Requirements:

Qualifications: Bachelor's degree in Finance, Accounting or relevant field

  • In depth experience and knowledge of Xero accounting system.
  • Proven work experience as an Accounts Assistant or similar role
  • Good knowledge of bookkeeping procedures and debt collection regulations
  • Hands-on experience with accounting software
  • Advanced knowledge of Excel (using financial formulas and creating spreadsheets)
  • Solid data entry skills with an ability to identify numerical errors
  • Good organizational and time-management abilities
  • 1 - 2 years’ experience in Accounting role
  • Willingness to work Australasian shift hours.
  • Willingness to work onsite in Angeles City, Pampanga.

Good communications and numeracy skills are important, as is the ability to work as part of a team while also having plenty of your own initiative. Strong problem solving and a desire to come up with practical solutions will stand you in good stead. Accuracy and attention to detail are very important. High proficiency with the use of computers and Microsoft Office and Windows and Xero applications is required.
