About the Job

The Integration Coordinator supports the Integration Management Office (IMO) by coordinating enterprise integration activities, maintaining governance processes, managing reporting and documentation, and driving execution across multiple workstreams. At the core of this role is accountability: the Integration Coordinator supports the PMO Director and workstream leaders by ensuring commitments, milestones, risks, and action items are documented, tracked, communicated, and followed through to completion. Reporting to the PMO Director, this role serves as a key operational partner responsible for ensuring integration initiatives remain organized, visible, and on track. The Integration Coordinator helps facilitate communication across functional teams, maintains critical project artifacts, tracks milestones and dependencies, and supports leadership through accurate reporting, meeting management, and follow-through on commitments. This role is ideal for a highly organized and detail-oriented professional who thrives in a fast-paced environment, enjoys bringing structure to complex initiatives, and can effectively coordinate across multiple stakeholders while maintaining a high level of accountability and execution discipline

Responsibilities

  • Integration Coordination & Governance | 35%
  • Support the execution of enterprise integration initiatives across multiple functional workstreams.
  • Maintain integration workplans, trackers, milestones, dependencies, risks, and action items.
  • Coordinate workstream activities to ensure alignment with integration objectives, timelines, and deliverables.
  • Hold workstream owners accountable for committed deliverables, tracking due dates, following up proactively, and escalating overdue items to the PMO Director.
  • Track progress against key milestones and escalate potential risks, delays, or barriers to the PMO Director.
  • Support governance forums by preparing materials, maintaining documentation, and ensuring follow-through on decisions and commitments.
  • Maintain centralized integration repositories, project documentation, and governance artifacts.
  • Meeting & Stakeholder Coordination | 25%
  • Coordinate recurring integration meetings, governance reviews, and workstream sessions.
  • Prepare agendas, meeting materials, and supporting documentation.
  • Capture meeting notes, decisions, action items, and next steps.
  • Monitor action item completion and proactively follow up with owners, escalating overdue commitments to the PMO Director when needed.
  • Facilitate communication and coordination across internal teams, functional leaders, and project stakeholders.
  • Support stakeholder engagement and communication activities throughout integration initiatives.
  • Reporting & Documentation | 30%
  • Develop, maintain, and administer integration status reports, dashboards, and executive updates.
  • Collect, validate, and reconcile data inputs from workstream leads to ensure accuracy before distribution.
  • Administer Monday.com on behalf of the IMO — managing boards, permissions, automations, and onboarding workstream leads to the platform.
  • Support preparation of leadership presentations and governance materials.
  • Maintain decision logs, issue logs, risk registers, and integration reporting tools.
  • Ensure documentation is accurate, current, organized, and easily accessible.
  • Consolidate updates from workstream leaders into executive-ready reporting.
  • Support the creation and maintenance of standard templates, processes, and reporting frameworks.
  • Execution Support & Continuous Improvement | 10%
  • Identify opportunities to improve integration processes, reporting, governance, and communication.
  • Support implementation of best practices across integration workstreams.
  • Assist with change management, adoption tracking, and organizational readiness activities as needed.
  • Contribute to the development of scalable tools, templates, and operating procedures that improve integration execution.
  • Support special projects and transformation initiatives as assigned.
  • Qualifications & Experience
  • 3–5 years of experience in project coordination, program coordination, PMO support, business operations, implementation, consulting support, or related fields.
  • Experience supporting cross-functional initiatives involving multiple stakeholders and competing priorities.
  • Demonstrated ability to manage multiple projects, deadlines, and deliverables simultaneously.
  • Demonstrated track record of holding cross-functional stakeholders accountable to deadlines and commitments.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Experience maintaining project plans, trackers, status reports, and governance documentation.
  • Strong written and verbal communication skills with the ability to communicate effectively across all levels of the organization.
  • Experience supporting leadership teams through reporting, meeting coordination, and project administration preferred.
