GENERAL DESCRIPTION
The Site Coordinator shall oversee the implementation of project goals and objectives to the local targets and priorities of partner peoples’ organization, municipalities, provincial government, and regional line agencies of the assigned project. He/She will be primarily responsible in coordinating and orchestrating development programs and related activities within project sites that are of concern to the project, including but not limited to the involvement of the academic institutions and research groups identified as project partner.
SPECIFIC DUTIES AND RESPONSIBILITIES
The Site Coordinator will be primarily responsible for the following: General Administration of the Project: 1. Ensures a collaborative working relationship with and among the Project partners and acts as the primary contact point of WWF-Philippines in the project site 2. Provides administrative support to the Projects on a day-to-day basis, including the preparation of project report and other requirements 3. Coordinates, assists and facilitates events by taking the lead in the preparation of documents, materials, and logistics for the meetings, workshops and conferences 4. Arranges and schedules meetings and appointments, as instructed by the Project Manager 5. Facilitates meetings with partners & stakeholders and prepares documentation including the minutes of meetings or activity reports 6. Makes travel arrangements including the preparation and liquidation of travel grants and vouchers 7. Coordinates with Admin, IT and Finance units on supplies and equipment requirements 8. Facilitates the signing of consultants’ contracts and agreements 9. With the support of the Finance and Admin units of WWF-Philippines, assists in monitoring the financial performance of the project (in terms of funding status, budgets, financial reports, burn rate, etc.) through coordination with the finance and admin departments of the other project partners 10. Submits regular liquidation reports and progress billing with Finance Unit, and coordinates workshops, meetings, and travels of WWF staff and stakeholders for Project-related activities Reporting: 1. Assists in the preparation of periodic work and financial plans and budgets with the Project Manager and Finance and Administrative Assistant, in consultation with Project partners 2. Assists the Project Manager in preparing reports in the form of project, financial and technical progress reports, including presentations 3. Participates in project development initiatives, in cooperation with the Project Development and Marketing units Monitoring: 1. Assists in carrying out regular monitoring of progress according to the project plan, uses and implements monitoring and evaluation tools with measurable indicators for this purpose.2. Ensures that reports are delivered on time 3. Ensures adequate quality of data gathered in the project through regular quality controls Working Relationships:
Internal: Within WWF Philippines, this post reports to the Project Manager, and is expected to work with other staff within and outside the project site when necessary External: Government officials, government agencies, academic institutions, community leaders and members, stakeholders, other NGOs, media and private sector
MINIMUM POSITION REQUIREMENTS
Education: At least university degree related to environmental management, social development, international relations, or behavioral sciencesWork Experience: Minimum of 2 years experience working with communities preferably with agri/agro livelihood aspects Special Qualities / Skills Required:
- Above average communication (oral and written) and interpersonal skills, able to speak the local dialect in place of assignment
- High interpersonal skills
- Sharp decision-making and organization skills
- Willing to learn the technical aspect in relation to project implementation
- Knowledge of Geographic Information System (GIS)
- Willing and able to travel, preferably owns and drives a single motorcycle and lives in Davao Oriental
