JOB DESCRIPITION
- Admin Case Management: Ensures timely provision of quality services to clients on matters related to administrative cases, grievance handling and other discipline-related concern. Activities includes but not limited to the following, depending on the needs of the case/s:
- Close coordination with correponding Line or Division for the investigation process prior to the start of any discussion on the administrative disciplinary case
- Assists in the preparation of the documentation required such as Show Cause Memo or Request for written explanation
- Documentation of administrative hearings, including transcription of the Minutes of the hearings; includes note taking with Legal during meetings
- Records the on-line transactions in the HR system for movements such as the following:Disciplinary Log Record; Suspension Movements
- May assist in drafting Discipline Notices for cases of simple to medium complexity cases
- Clearance Processing for Separated and UBF employees:
- Reviews the records of separated employees and provides clearance based on the criteria set, including UBF.
- Development and Facilitation of Workplace Conduct Programs:
- Develops training programs, learning materials and content which may be used to promote knowledge of the company policies and process related to workplace conduct and which caters to the needs of the business. This requirement includes end-to-end program facilitation including the management of logistics related to the facilitation and conduct of the training.
- Records keeping: Makes available updated Filing of Individual Case Documents and Electronic Archiving at all times. Ensures the accessibility and accuracy of complied and organized documents such as but not limited to the evidence of each case, physical copies of notices and other relevant documents "
- Policy advisory: Provides guidance to line leaders for matters relating to the handling of disciplinary matters, performance, non-regularization and other labor-related matters
- Develops processes and policies on learning and ensure a complete WC Learning Community
- Ensures that the WC E-courses have a complete version in the LMS (Learning Management System) with reviewed and approved presentation documentation including assessment questions for the courses.
- Supports the implementation of Annual Workplace Conduct activities on the Annual Policy on Business Conduct disclosure and reporting of case trends.
- Supports third-party management requirements based on HR Compliance Requirements, in partnership with Legal and Sourcing and Materials Management
- Supports and/or leads the fulfillment of compliance and regulatory requirements on a regular basis
- Bachelor's Degree / 4-year Course graduate; BS Legal Management, BS Psychology preferred
- At least 3-6 years of experience in workplace conduct and compliance
- Studies or attended seminar on Labor Relations or handling administrative cases
- Basic knowledge of the Labor Code requirements and the Company policy in handling disciplinary cases
