What You Will Be Doing
The Welfare and Benefits Associate will play a key role in supporting the team by ensuring accurate and timely maintenance of crew-related data in the Crew Management System. You will assist in the effective administration of the company’s benefit programs and contribute to the delivery of employee support services. This role also involves providing assistance to Managers in generating KPIs and other reports essential to operational and strategic planning.

What You Will Be Doing
The Welfare and Benefits Associate will play a key role in supporting the team by ensuring accurate and timely maintenance of crew-related data in the Crew Management System. You will assist in the effective administration of the company’s benefit programs and contribute to the delivery of employee support services. This role also involves providing assistance to Managers in generating KPIs and other reports essential to operational and strategic planning.
Key Responsibilities
- Conduct monthly review and update of the Crew Management System prior to closing of account period, including the following:
- Employment vs Assignment / Rank Change vs Assignment: Ensure consistency and accuracy of dates.
- Vacation Activity: Coordinate with SPS and manning agents to ensure vacation records are updated before closing the monthly wage account. Officers exceeding the allowed vacation in relation to earned home pay must be flagged and corrected before account closure.
- Sick Assignment: Review sick assignments monthly. Bring any cases exceeding the allowed duration to the attention of the person in charge or manning agent and make necessary corrections.
- Past Due Activities: Follow up with SPS and manning agents on past due activities (e.g., sign-ons/sign-offs).
- Assignment Gaps: Follow up on any gaps in assignment records with SPS or manning agents.
- Assist in resolving wage discrepancies of crewmembers.
- Serve as back-up in the administration of BassNet HRM & Payroll.
- Assist in the data maintenance and updates of BassNet HRM & Payroll.
- Assist in the preparation of the manning budget.
- Assist in the preparation and administration of the Sea Staff Profit Sharing Scheme.
- Assist in the preparation of wage scales.
- Maintain Crew Medical Visit records in HRM and other related files.
- Maintain Pension and other Company Benefits records in HRM and related files.
- Maintain Supernumerary profiles, documents, and activity logs in HRM.
- Maintain census data for medical insurance across all pools.
- Enter and maintain crew activity as needed.
- Handle daily correspondence related to Welfare and Benefits.
- Assist Managers in SPS-related projects as needed.
- Support Managers in data gathering and report generation (e.g., KPI, Trend Analysis, Root Cause Analysis, Turnovers, Seafarers Data).
- Assist in the preparation and updating of Sea Personnel Quality Management Manuals.
- Good verbal and written communication skills.
- Strong organizational and time management skills.
- Knowledge and experience in using Crew Management System (CMS) and Human Resource Management (HRM) systems is an advantage.
- Detail-oriented and capable of handling sensitive data with confidentiality.
- Ability to coordinate with multiple stakeholders and work effectively in a team environment.
