Job Description

The Warehouse Operations Supervisor is responsible for overseeing and managing daily warehouse operations to ensure efficient, accurate, and timely handling of inventory and goods. This role is critical in achieving operational excellence and meeting business goals through optimized workflows, resource allocation, and compliance with standards.

Key responsibilities include maximizing storage efficiency through optimized warehouse space utilization, and streamline operations, ensuring seamless workflows that support productivity and cost-effectiveness. This role is vital in enforcing rigorous adherence to GMP/GWP, ISO/HACCP, Food Safety Standards, and Safety Protocols to uphold a safe, compliant, and high-performing environment that meets both regulatory requirements and quality standards.

Additionally, the said position works with Subcon Agency to ensure they align with core team practices and operational standards, creating a cohesive and efficient workforce. Key areas of focus include managing Finished Goods (FG) Receiving and Putaway, Storage Loading and Dispatch, and Delivery Documentation processes, ensuring each step is completed accurately, efficiently, and in compliance with standards. These efforts directly support the company’s goals of operational excellence, on-time delivery, inventory accuracy, and high service quality, driving customer satisfaction and business success.

Key Duties and Responsibilities

• Warehouse Operations Management
• Operational Efficiency: Oversee the overall functioning of the warehouse, ensuring efficient receipt, storage, and dispatch of goods.
• Space Optimization: Manage and optimize warehouse space utilization through strategic product placement, storage solutions to maximize efficiency and reduce operational costs.
• Forklift Resource Allocation: Efficiently allocate and manage forklift resources, ensuring equipment is readily available and well-maintained to facilitate safe, effective material movement throughout the warehouse.
• Layout and Workflow Assessment: Regularly assess and adjust warehouse layouts to accommodate inventory changes, streamline workflows, and improve accessibility for faster order processing and retrieval.
• Maintenance: Identify and address operational shortfalls, maintenance, or repair needs promptly to ensure smooth operations.
• Pallet Management and Maintenance: Implement the pallet management Standard Operating Procedures (SOP) , ensuring proper storage, rotation, and maintenance to prolong pallet lifespan and support safe handling practices. Coordinate repairs or replacements to maintain quality standards.
• Continuous Improvement and Process Optimization:Identify and drive improvements across warehousing operations. Leverage best practices and lean principles to streamline processes, minimize waste, and improve overall efficiency, ensuring that each phase of warehouse operations performs at optimal productivity and accuracy.
• FG Receiving and Putaway
• Stock Monitoring: Supervise the receiving of finished goods, verifying quantities, product condition, and correct storage locations. Coordinate putaway activities to optimize space and retrieval efficiency, ensuring products are stored safely, in compliance with warehouse guidelines and accurate, timely recording in the system.
• Quality Collaboration: Collaborate with the Production and QA departments to monitor the quality status of finished goods and take appropriate action on Off-grade and non-conforming products.
• Loading and Dispatch
• Loading Operations: Supervise and control the loading of finished goods into container vans, vessels, and trucks, ensuring safe handling, accurate quantity, and timely dispatch.
• Documentation: Ensure all transactions related to finished goods are accurate, complete and timely documented and properly managed.Verify documentation for completeness to support compliance and efficient tracking.
• Shipment Coordination: Coordinate with the Logistics Manager, OF and OM to schedule shipments, ensuring timely and accurate delivery.
• Compliance and Quality Controls
• GMP (Good Manufacturing Practices) / GWP (Good Warehousing Practices): Ensure warehouse practices align with GMP and GWP standards for the safe and efficient handling and storage of goods.
• ISO/HACCP and Food Safety Standards: Implement and maintain ISO/HACCP protocols, conducting regular inspections to ensure compliance with food safety and quality standards. Identify and address potential food safety hazards, ensuring a safe environment for all food products.
• Safety Standards: Enforce all safety standards and protocols, including OSHA regulations and internal safety guidelines, to create a safe and secure workplace. Conduct safety training and maintain up-to-date safety certifications and records.
• Quality Control: Monitor and enforce quality control procedures within the warehouse to maintain high standards.
• Inventory Control and Accuracy
• Process Implementation and Monitoring: Assist and support the System Inventory Supervisor in implementing and monitoring inventory control processes to minimize loss and enhance accuracy.
• Collaboration for Compliance: Work closely with the System Inventory Supervisor to maintain strict adherence to inventory control protocols, ensuring accurate and reliable inventory records.
• Subcon Agency Engagement
• Oversee the performance of subcontracted warehouse staff, ensuring they adhere to warehouse policies, safety regulations, and quality standards.
• Conduct regular performance evaluations and provide training to align subcons with operational expectations and company standards.
• Coordinate with subcontractors to address staffing needs and ensure sufficient coverage to meet operational demands.
• Team Leadership and Supervision:
• Supervise, train, and mentor warehouse staff, fostering a positive, productive, and safety-conscious work environment.
• Schedule staff shifts, assign tasks, and monitor performance to meet operational targets. Conduct regular meetings to communicate goals and expectations.
• Planning and Reporting
• Operational Planning: Develop warehouse planning methods and layout plans to optimize operations.
• Performance Monitoring: Track and evaluate warehouse and operational performance, implementing improvements as needed.
• Reporting: Prepare and submit standard reports on key performance metric, productivity, accuracy, safety and compliance.Maintain accurate records of warehouse activities, including subcontractor performance and compliance documentation.
