We are seeking a Shopify Order Specialist to join our dynamic team. This role is pivotal in ensuring all orders placed on our Shopify platform are tracked, fulfilled correctly, and any issues are quickly identified and resolved. The ideal candidate will have a keen eye for detail, a strong grasp of Shopify’s capabilities (including 3rd-party app integrations), and the ability to collaborate effectively with suppliers to ensure a seamless experience for our customers. The Shopify Order Specialist will be expected to work on Eastern Standard Time.

Key Responsibilities:

  • Order Tracking & Monitoring: Review and monitor incoming orders on Shopify to identify potential issues (e.g., invalid addresses, stockouts).
  • Dashboard & View Setup: Create and manage custom dashboards or views within Shopify to streamline order tracking and highlight potential errors.
  • Issue Resolution: Proactively flag and resolve order issues, such as discontinued items or invalid addresses, by coordinating directly with suppliers and internal teams.
  • Supplier Communication: Liaise with suppliers to resolve order discrepancies, update stock information, and ensure timely order fulfillment.
  • Inventory Coordination: Work closely with suppliers and the internal team to keep product availability data accurate and up to date, helping prevent backorders or delays.
  • Product Creation & Linking: Create and update products in Shopify, ensuring accurate linkage to relevant 3PL or on-demand fulfillment platforms.
  • Documentation & SOPs: Develop and maintain detailed documentation of all processes to ensure up-to-date Standard Operating Procedures (SOPs).
  • Reporting & Analytics: Generate reports on order trends, error frequency, and fulfillment timelines, offering actionable insights for process improvements.
  • Collaboration: Collaborate cross-functionally with sales, customer success, and other relevant teams to maintain high levels of customer satisfaction.

Minimum Qualifications: Qualifications:

  • Attention to Detail: Demonstrated ability to spot errors and inconsistencies in data or processes.
  • Shopify Expertise: Proven experience managing orders, products, and views in Shopify; familiarity with 3rd-party Shopify apps is a must.
  • Technical Proficiency: Comfortable setting up custom dashboards or reports, with the ability to troubleshoot basic technical issues.
  • Communication Skills: Strong written and verbal English language skills to effectively collaborate with suppliers and team members.
  • Time Management: Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Problem-Solving Mindset: Capable of quickly diagnosing issues and implementing solutions to avoid disruptions in the ordering process.
  • Previous Experience: Experience in e-commerce, supply chain coordination, or a similar role is highly preferred.
