Job Responsibilities

Responsibilities

The Sales/Contracts Department Assistant will provide crucial support to the sales and contracts teams by managing various administrative and operational tasks. Daily responsibilities include:

  • Performing accurate data entry to maintain records and databases
  • Editing and formatting documents using Microsoft Word
  • Creating and updating presentations with Microsoft PowerPoint
  • Developing, organizing, and maintaining Excel spreadsheets for tracking and reporting purposes
  • Building and compiling reports to support sales and contract activities
  • Assisting in contract management, including organizing, filing, and tracking contract documents
  • Managing schedules and calendars to coordinate meetings and deadlines
  • Handling Hubspot CRM tasks such as updating records and managing pipeline data
  • Drafting internal emails and correspondence as needed
  • Performing other related administrative duties as assigned

This is a backend support role focused on ensuring smooth and efficient operations within the sales and contracts departments. The assistant will not have client-facing responsibilities but will play a key role in supporting the team’s workflow and documentation needs.

Qualifications

  • Proficient in Microsoft Office 365 applications, particularly Word, Excel, and PowerPoint
  • Intermediate level skills in Excel, including data organization and basic formulas
  • Familiarity with CRM systems, preferably Hubspot
  • Strong organizational skills with attention to detail and accuracy
  • Ability to manage multiple tasks and deadlines efficiently
  • Good written communication skills for drafting emails and editing documents
  • Previous experience in an administrative or assistant role, ideally supporting sales or contracts teams, is preferred but not required
  • Willingness to work during EST hours
