Job Summary:

The Reservation Agent / Admin Support will be responsible for managing reservations, assisting guests, and

performing administrative tasks to support the smooth operation of our vacation rental business. The ideal

candidate will possess excellent communication skills, attention to detail, and the ability to multitask

effectively in a fast-paced environment.

Key Responsibilities:

1. Reservation Management:

a. Respond promptly to reservation inquiries via email, phone, and online booking platforms.

b. Process reservations, cancellations, and modifications accurately.

c. Ensure proper documentation and confirmation of bookings.

d. Monitor calendar availability and avoid double bookings.

2. Appointment Setting

a. Make outbound calls to prospective business customers to generate appointments

for vacation rentals

b. Generate leads to meet or exceed daily, weekly, and monthly sales targets

c. Follow call scripts and sales processes to ensure consistency and effectiveness

3. Guest Relations:

a. Provide exceptional customer service to guests by addressing their questions, concerns,

and special requests.

b. Resolve issues related to bookings, payments, or property access promptly and

professionally.

c. Communicate check-in/check-out procedures and property rules.

4. Administrative Support:

a. Maintain and update property listings on various booking platforms

b. Assist with payment processing, invoice generation, and follow-ups for pending payments.

c. Create and maintain spreadsheets or reports for reservation tracking and performance

analysis.

d. Coordinate with cleaning and maintenance teams to ensure properties are guest-ready.

5. Quality Assurance:

a. Conduct pre-arrival and post-stay follow-ups with guests to ensure satisfaction.

b. Collect and document guest feedback for continuous improvement.

6. Coordination:

a. Act as a point of contact between the company, property owners, and third-party vendors.

b. Support the team in marketing efforts by sharing property promotions and updates with

potential guests.

Key Qualifications:

  • At least 2 years of experience in customer service, reservation management, or a related field.
  • Familiarity with vacation rental platforms
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and online communication tools (e.g.,
  • Slack, MS Teams).
  • Excellent verbal and written communication skills in English.
  • Strong organizational and multitasking abilities.
  • High attention to detail and ability to handle sensitive information discreetly.
  • Availability to work EST hours and occasional weekends or holidays if needed.
  • Experience in the vacation rental or hospitality industry.
  • Problem-solving mindset and ability to work independently.


Working Conditions:

  • Working hours will adhere to US Time Zone, and must also be amenable to shifting schedule, holidays, graveyard, etc. depending on the business needs
  • Fully remote
