We are looking for a proactive and detail-oriented Appointment Setter to join our team as a Virtual Assistant. This role is essential in supporting our real estate operations and ensuring smooth client interactions.

Job Summary

The Appointment Setter will be responsible for managing our appointment scheduling system, coordinating with potential clients, and ensuring that all meetings and viewings are organized efficiently. The ideal candidate should have excellent communication skills, a customer-oriented approach, and a basic understanding of the real estate industry.

Key Responsibilities

  • Contact Prospective Clients: Make outbound calls to potential leads to schedule appointments for property viewings or consultations.
  • Manage Appointments: Organize and manage the calendar for real estate agents, ensuring all appointments are scheduled accurately and efficiently.
  • Follow-Up Communication: Maintain consistent follow-up with leads via phone, email, or messaging platforms.
  • Data Entry & CRM Management: Update and manage client information in the CRM system, ensuring all data is accurate and up-to-date.
  • Provide Support to Real Estate Agents: Assist agents with scheduling conflicts, rescheduling appointments, and maintaining open communication lines.
  • Client Inquiries: Respond to client inquiries promptly and professionally, providing information about property listings and services.
  • Market Research: Assist with basic market research and gathering property information to support the real estate team.

Qualifications

  • Experience: Previous experience in a similar role, preferably in real estate or telemarketing, is an asset.
  • Communication Skills: Strong verbal and written communication skills in English.
  • Tech-Savvy: Comfortable using CRM systems, calendar management tools, and other scheduling software.
  • Customer Service Skills: Ability to handle customer interactions with professionalism and empathy.
  • Organizational Skills: Strong attention to detail and the ability to multitask and prioritize effectively.
  • Availability: Flexible schedule to accommodate various time zones.
