Job Summary:
Responsible for ensuring the accuracy of accounts related to credit balances and refund processing, while delivering excellent customer service to students, families, and internal stakeholders.
Responsibilities:
• Analyzes student accounts to determine eligibility for refunds based on enrollment, aid disbursement, and institutional or federal policies.
• Process refunds efficiently and accurately in compliance with university and regulatory guidelines.
• Communicates with students, parents, guardians, and internal departments through in-person consultations, phone, virtual meetings, and written channels (email, mail, chat).
• Provides information on credits and refunds, including timelines and policy explanations.
• Connect students to financial aid, scholarship, and loan resources as needed.
• Explains financial policies and payment obligations, educating students on the impact of outstanding balances.
• Audit and verify account activity to answer questions, resolve discrepancies, and address disputes.
• Compare payments to charges and explains resulting balances or credits.
• Minimizes unresolved account issues by proactively reaching out and following up across communication channels.
• Maintains accurate student financial records in the university’s accounting system.
• Process eRefunds and automated refund transactions when available.
• Identify and correct errors on student accounts, including over-refunding, over-awarding of aid, or tuition calculation discrepancies.
• Applies state-dated check processes as required to maintain compliance.
• Participates in software testing, system upgrades, and process improvement initiatives.
• Suggest enhancements to accounting and business processes.
• Maintains up-to-date documentation and procedures for assigned responsibilities.
- • Address customer concerns and escalates complex issues to senior team members or management as appropriate.
Qualifications and Requirements:
• Minimum of one (1) year of account management and maintenance.
• Minimum of one (1) year of customer service experience.
• Experience in using Salesforce, Zendesk, or ServiceNow.
• Clear and coherent in both written and verbal communication skills.
