Key Responsibilities:
- Front Desk & Reception Duties:
- Greet and assist visitors and clients with professionalism and warmth
- Answer and manage incoming calls and emails; route inquiries as needed
- Maintain a tidy, welcoming reception and meeting room area
- Handle incoming and outgoing mail, deliveries, and courier services
- Administrative Support:
- Provide direct administrative assistance to the Senior Facilities and Office Administration Officer, helping with scheduling, documentation, and internal processes
- Assist the management with calendar coordination, travel arrangements, and any administrative tasks or needs
- Support daily office operations including ordering supplies, managing facilities requests, and vendor coordination
- Departmental Coordination:
- Liaise with different departments (e.g., HR, IT, Finance, Operations) to ensure smooth communication and task follow-ups
- Facilitate internal requests, document sharing, and assist in cross-department scheduling and logistics
- Marketing & Event Support:
- Assist the Marketing Team in planning and executing internal and external events
- Coordinate logistics for meetings, webinars, client visits, and team-building activities
- Support with promotional materials, registration lists, and post-event follow-ups
- Other Duties:
- Perform any other ad hoc or additional tasks assigned by management from time to time
- Proven experience in a receptionist or administrative assistant role
- Excellent communication, organization, and multitasking skills
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Google Workspace, Zoom, Slack)
- Ability to work with confidential information and manage multiple stakeholders
- Strong attention to detail, initiative, and ability to work independently
- Experience in a fast-paced or startup environment is a plus
