Could you be the full-time Project Admin Assistant in Mabalacat, Pampanga & Ortigas, Philippines we’re looking for?
RESPONSIBILITIES:
HR Administration
- Provide a range of administrative and support services to meet the business needs of HR and General Services
- Visa Process (downgrading, renewal, AEP, exit clearance, etc)
- Government Agencies (Statutory requirements & Submission of Reports)
- Invoice processing for payment (expat accommodation/schooling/lease & other related HR vendors)
- Distribution of communications/office emails/Consortium communication to ensure proper flow of communication amongst employees
- Receiving of signed Exit Clearance and other offboarding requirements from leavers (med cards/ID/signed exit clearance, etc)
- Project Org. Chart & Other Client's request (no sensitive information required)
- Communications relay / support for Alstom Philippines
- Attend and report to monthly meetings with EA Comms
- Provide write ups for events, milestones and developments in the project
- Support CSR Activities
- Support in Company Permit Renewals such as City and Baranggay Business Permit
- Coordination with Baranggay and LGU for any other permitting requirements
- Support in any Government Agency Permitting Requirements such as Fire, Environmental, DOE et al
- Support for PR and government relations
- Local EHS and Dole Permitting Requirements if required.
- Flight and Booking Arrangment for Team and Clients
- Review and Validate Travel and Hotel Invoices
- Organize and Coordination with Hotel and Venue for Company Milestones and Events
- Agenda Management for Incoming External Teams and Client Visits
- DHL and Other Parcel Booking and Management
