Title: Procurement Assistant

The Procurement Assistant will support the Logistics, Manpower and Other Services Team under Global Procurement by performing various administrative and operational tasks. The role is essential in ensuring the accuracy, organization, and efficiency of procurement processes, from contract management to document handling and data entry. This position requires strong attention to detail, effective communication skills, and the ability to coordinate with both internal and external stakeholders.

Key Responsibilities

  • Contract Amendments: Update and process contract amendments within the procurement system as needed.
  • Contract Routing: Monitor and coordinate the routing of contracts for approval, signing, and notarization, ensuring timely processing and tracking.
  • Document Scanning: Scan procurement-related documents and ensure all records are properly digitized for easy retrieval and reference.
  • Document Uploading: Upload contracts, agreements, and other relevant documents into the appropriate system or database.
  • Stakeholder Coordination: Assist in coordinating and following up with internal departments and external stakeholders to ensure smooth communication and processing of procurement activities.
  • Record Maintenance: Maintain organized and up-to-date procurement records, including contracts, correspondence, etc.
  • Contract Tracking: Track the status of contracts and agreements, ensuring all necessary documentation is received, processed, and completed.
  • Data Consolidation and Entry: Consolidate procurement-related data and enter it into relevant databases or reports to support analysis and decision-making. Accurately encode procurement-related information, including contract details and other essential data, into files or systems.
  • Document Retrieval and Provision: Oversee the retrieval and provision of contract copies as needed, ensuring timely and accurate access to relevant documents for internal and external stakeholders.

Qualifications

  • Bachelor’s degree in any of the following: Business, Engineering, Supply Chain Management, or a related field
  • Strong attention to detail and organizational skills
  • Proficiency in data entry and document management
  • Good communication skills, both written and verbal
  • Ability to multitask and manage time effectively
  • Proficient in MS Excel
  • Experience in procurement or a related field is a plus but not required
  • Familiarity with contract management processes and tools is an advantage
  • Must be willing to work in Ortigas, Pasig (Hybrid Work Setup)
