Our company operates as an OEM (Original Equipment Manufacturer) in the B2B Clean Technology & Environmental Equipment sector. Our equipment portfolios cover nappy recycling sectors (post-industrial and post-consumer) and industrial air filtration sectors that ensure factories provide safe air for workers and eliminate factory emissions using minimal energy. Headquartered in Singapore with factory operations in SEA, our Cebu-based organization supports all companywide BPO activities. Our Cebu operation is key to our overall organizational processes and key to our overall success. To help improve our current standard, we’re seeking a Cebu experienced leader to (i) improve existing operations where needed (ii) set up new operational processes where needed and (iii) oversee and manage daily operations.

The ideal candidate must have a sharp business mind and proven success in managing multiple departments for maximum productivity. This person must have a successful track record of leading multi-functional teams, have hands-on previous experiences in departments such as human resources, finance, sales, and marketing, and must be computer/IT literate. Being able to develop and maintain an environment of trust, diversity, and inclusion within the operations team are key aspects considered important for success.

Our company is also open to potential candidates who have no desire to manage an ongoing organization but who are passionate about focusing on setting up and improving operational processes and are warmly welcome to apply as a consultant.

Key Objectives of this role

  • Increase the efficiency of existing processes and procedures to improve the company’s performance
  • Improve operational management systems, processes, and best practices
  • Set clear OKR, KPIs, R&Rs of departments and staff and maintain these systems on an ongoing basis
  • Maintain constant communication with managers, staff, vendors, and other stakeholders to ensure the proper operation of the company
  • Ensure all department operational activities are within the prescribed time frame and budget
  • Track staffing requirements, hire and train new employees as needed
  • Provide staff coaching and guidance and promote the value of discipline among team members in adherence with the company policies
  • Establish a performance management system that identifies high-performing staff and staff with other potential skills, capabilities, and talent and is appropriately rewarded.
  • Coach and develop the organization to improve internal current systems operating independently from the HQ office except as the business dictates.
  • Complete the digital automation of performance monitoring including the complete digital automation of reporting.
  • Emerging from COVID with a clear home office focus, manage the back-to-office plan in our new post-COVID world. Our current strategy is to remain home-office based with 2 weekly face-to-face working events at a location to be agreed upon. We have the bandwidth to modify this plan as the new leader deems fit.

Responsibilities

  • Lead, motivate, and support a team of 10 - 20 staff members within a time-sensitive and demanding environment, including career development plans for direct reports and problem resolution
  • Manage data collection for the updating of metrics to achieve productivity targets, reduce costs per unit, eliminate errors, and deliver excellent customer service
  • Partner with cross-functional teams to improve proprietary tools and systems
  • Conduct budget reviews and report cost plans to upper management
  • Help the organization’s processes remain legally compliant
  • Ensure new systems are in place to manage processes and communications between Cebu-based functions such as purchasing, accounts, and HR.
  • Our equipment portfolio for post-industrial diaper recycling and air-filtration comprised the complete R&D process and is scaling. New dedicated systems need to be set up as the business scales up with the opportunity to improve systems that are very different from our current R&D set-up.
  • Improve current systems that reinforce the company’s equipment portfolio for post-consumer diaper recycling that is currently at 30% R&D process.
  • Develop, implement, and oversee departmental strategies and best practices throughout the Cebu operation.
  • Oversee and ensure that all departments can achieve their objectives in supporting and ensuring products are delivered on time, including shipment
  • Regular 1:1 meeting with staff giving coaching and mentorship as needed.

Required skills and qualifications

  • Multiple years of proven success in an operations management role supervising multiple departments
  • Have demonstrated leadership capability to run a tight ship within a BPO environment.
  • Experience in BPO set-up include setting up OKR, KPIs, R&Rs, and similar HR systems.
  • Proficiency in conflict management and business negotiation processes.
  • Excellent ability to delegate responsibilities while maintaining organizational control of branch operations and customer service
  • Knowledge of business productivity software and an aptitude for learning new applications
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and clients.
  • Ability to work independently and with professional discretion.
  • Thorough understanding of office management procedures
  • Exceptional analytical and problem-solving abilities.
  • Outstanding organizational skills
  • English language as well as local _______

Preferred but noncritical skills and qualifications

  • Bachelor’s degree (or equivalent) in operations management, business administration, technical or related field
  • Previous work experience in a technically focused field
  • Finance, cost estimation as well as financial reporting
  • Legal experience of any kind including but not limited to legal contracts management
  • Working knowledge of management software such as ERP
  • ERP Microsoft experience
  • Senior HR experience
  • Broad IT skills

What success looks like

  • All your departments will be operating at a high level of efficiency meeting departmental targets
  • You have successfully set up all OKR, KPIs, and R&Rs for all departments and all staff
  • All staff follow simple, effective, and concise work processes
  • Customer satisfaction which included Singapore (HQ), SEA factory, and end customers
  • A high local staff morale
