We are seeking a skilled and motivated Remote Operations Manager to lead and optimize our HVAC services team from a remote setting. This position is vital in overseeing our daily operations, ensuring high-quality service delivery, and achieving customer satisfaction while working remotely. The ideal candidate has a strong background in HVAC services, excels in team management, and is proficient in digital tools that facilitate remote operations.

Salary: 1000-2000USD - 100% Remote

Key Responsibilities

  • Remote Operational Management
  • Plan and monitor remote workflows for HVAC service operations, optimizing processes to achieve efficiency and reliability.
  • Implement scheduling and resource management strategies that ensure timely and effective service delivery.
  • Regularly assess virtual workflows and adjust as needed to improve service quality, reduce operational costs, and enhance team productivity.
  • Virtual Team Leadership
  • Supervise, support, and develop the remote HVAC operations team, which includes technicians, dispatchers, and customer support staff.
  • Conduct virtual recruitment, onboarding, and training to maintain a skilled and cohesive remote team.
  • Set clear expectations and goals, monitor performance, and provide regular feedback and coaching.
  • Foster a collaborative and accountable remote work culture.
  • Customer Service Excellence
  • Manage and monitor customer service channels to ensure quick and effective responses to client inquiries and concerns.
  • Address customer complaints and service issues promptly, focusing on problem-solving and maintaining client satisfaction.
  • Collaborate with customer service representatives to ensure smooth and professional communication with clients at all stages of the service process.
  • Financial Oversight and Budget Management
  • Develop and manage budgets for the operations team, closely monitoring expenditures and finding opportunities to reduce costs.
  • Generate reports and analyze financial metrics to ensure efficient resource allocation.
  • Coordinate billing, invoicing, and documentation, maintaining accuracy in client accounts and service records.
  • Scheduling, Inventory, and Resource Allocation
  • Oversee remote scheduling and dispatch processes, ensuring effective utilization of team members for timely service completion.
  • Manage remote inventory processes, including tracking, ordering, and distributing tools, materials, and supplies.
  • Coordinate with suppliers to ensure the timely and cost-effective delivery of materials and equipment.
  • Safety and Compliance Management
  • Ensure all remote operations adhere to safety regulations, codes, and best practices in the HVAC industry.
  • Conduct virtual safety training and ensure ongoing compliance with regulatory requirements.
  • Maintain accurate digital records of compliance, training, and safety audits.
  • Continuous Improvement & Strategic Planning
  • Lead virtual continuous improvement initiatives to streamline processes and reduce inefficiencies.
  • Leverage data analytics and feedback to identify operational challenges and opportunities for growth.
  • Collaborate with senior leadership to develop strategic plans for expanding remote operations and improving service delivery.

Qualifications

  • 3+ years of experience in operations management within HVAC or a similar service-based industry.
  • Proven experience managing remote teams with a strong emphasis on customer satisfaction and quality assurance.
  • Strong knowledge of HVAC systems and industry best practices.
  • Proficiency in remote management tools, including project management software (e.g., Asana, Trello), CRM platforms (e.g., HubSpot), and communication tools (e.g., Zoom, Slack).
  • Familiarity with operations software like Service Titan, Jobber, or similar.
  • Excellent organizational, analytical, and communication skills.
