Visit.org is looking for a dedicated and proactive Operations Coordinator, Supply Team to join our remote workforce. This role is pivotal in enhancing our Supply Operations Team's efficiency and effectiveness. The Operations Coordinator will be responsible for implementing day-to-day operations and administrative tasks with a focus on optimizing operational systems and processes. The Operations Coordinator should have a keen eye to build efficiencies into systems. This role will be responsible for managing data in Salesforce, including building reports, dashboards, and data visualizations. The right candidate will have an entrepreneurial spirit, extreme passion for our mission, and the energy and discipline to come in and be a builder in a start-up tech environment.

Please note : This remote role is a contract position (40 hours/week, 8 hours/day, invoiced monthly). The ideal candidate will be available from 9am - 5pm EST (Eastern Standard Time).

Responsibilities

  • Supplier database management: Develop systems to efficiently collect and maintain accurate supplier data, ensuring timely updates and onboarding.
  • Content library updates: Create systems to streamline the collection and maintenance of experience content, ensuring the library stays current with supplier offerings.
  • Data management, reporting, and oversight: Develop and maintain systems for data accuracy and integrity across all operational processes. Build and manage reports and dashboards using Hubspot, Metabase, and other tools to track key metrics, ensure data consistency, and support data-driven decisions
  • Process optimization and improvement: Identify and implement improvements to departmental systems and workflows, using tools like Hubspot, Metabase, Jotform, and Monday.com to streamline operations, reduce manual tasks, and track progress.
  • Project management and innovation: Lead and implement special projects with the Supply Operations team, focusing on process and system innovation to improve overall operational efficiency.
  • Resource Development : Build and maintain key resources such as data maps, resource libraries, playbooks, and other tools to optimize resource usage and accessibility.
  • Booking Management: Oversee and manage the operational details for upcoming bookings, ensuring all relevant information is up-to-date and accurate. Experience preparation: Work closely with the team to ensure experience content units are prepared, confirmed, and delivered on time for upcoming bookings. Day-to-day email management: Serve as the primary point of contact for nonprofit and supplier inquiries, responding promptly and providing accurate, helpful information while troubleshooting issues as needed.

Qualifications

  • Fluency in English for clear communication with internal teams and external partners.
  • 2+ years of experience with tools like Hubspot, Monday.com, Metabase, or similar platforms for data management, reporting, and dashboard creation.
  • Proficiency in building reports and dashboards to track metrics and support data-driven decisions.
  • Strong organizational and problem-solving skills with the ability to prioritize tasks, manage multiple projects, and drive process improvements.
  • Excellent communication skills (written and verbal), with the ability to collaborate effectively across departments and stakeholders.
  • Experience working in a fast-paced, startup environment or dynamic, evolving settings.
  • Adaptability and comfort with ambiguity, thriving in an environment where processes and roles evolve over time.
