The Medical Records Specialist position exists to ensure that the legal team has accurate, timely, and well-analyzed medical records to support casework. By expertly managing the retrieval, review, and organization of medical documentation, this role is essential in helping attorneys build strong cases and serve their clients effectively. The firm is seeking a proactive, detail-oriented individual to join their team and contribute to the firm’s reputation for reliability and excellence.
The Impact you’ll make
Medical Records Review and Analysis
- Review and analyze medical records and medical record summaries for accuracy and relevance.
- Identify key issues, important details, or potential concerns within medical documentation.
- Ensure all records are organized and presented clearly for case use.
- Request, track, and follow up on medical record retrieval using established vendors.
- Coordinate with the firm administrator and case managers to ensure prompt receipt of records.
- Resolve issues related to delayed or incomplete records.
- Accurately input medical record data into the firm’s case management system (FileVine).
- Maintain up-to-date and precise records for each client file.
- Assist with special projects related to medical records as assigned.
- Communicate effectively with internal stakeholders, including the firm administrator and case managers.
- Provide updates on record status and escalate issues as needed.
- Collaborate with the legal team to support ongoing case needs.
Required:
- Minimum 1 year of experience handling, reviewing, or summarizing medical records (preferably in legal, healthcare, or insurance settings).
- Proven ability to accurately enter and manage data in a case management or similar database system.
- Experience working in a professional environment with confidential or sensitive information.
- Proficiency with Microsoft Teams or similar team communication tools.
- Comfortable working full-time hours aligned with Mountain Daylight Time (MDT).
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
- Exceptional attention to detail and accuracy in reviewing complex documents.
- Strong written and verbal communication skills.
- Ability to learn quickly and work independently after initial training.
- Proactive approach to problem-solving and task management.
- Discretion and professionalism when handling confidential information.

Work Setup:
- Remote position
- Must have a reliable internet connection and a quiet workspace
- Required to provide own computer with Intel Core i5 or something similar or higher operating system
- Monday to Friday, 9 AM to 5 PM MDT (Mountain Daylight Time)
- Occasional weekend availability for urgent matters
- 40 hours per week
- $7 per hour
- No benefits package included
