Job Responsibilities

  • Office Organization: Maintain a clean and well-organized office environment, including managing office supplies, equipment, and inventory.
  • Administrative Support: Provide administrative support to ensure the efficient operation of the office, including managing phone calls, emails, and scheduling appointments.
  • Document Management: Assist in the creation, editing, and distribution of various documents, reports, and presentations.
  • Record Keeping and Management: Responsible for ensuring accurate and organized record-keeping and management of important documents such as contracts, case files and other legal documents.
  • Filing Processes: Filing of documents with the appropriate court or administrative bodies, either electronically or in person.
  • Calendar Management: Schedule and coordinate meetings, appointments, and events, and manage calendars for team members.
  • Correspondence: Draft, proofread, and distribute correspondence, emails, and reports as needed.
  • Travel Arrangements: Coordinate travel plans, accommodations, and itineraries for team members.
  • Meeting Support: Prepare meeting materials, take meeting minutes, and provide logistical support for meetings and conferences.
  • Guest Support: assist visitors and guests of the department, ensuring a positive and professional experience during their visit.
  • Research: Conduct research on various topics and compile information for reports and presentations.
  • Expense Management: Assist in the tracking and management of expenses, reimbursements, and financial records.

Qualifications

  • Bachelor’s degree in Business Administration, Office Management, Legal Management, or related field.
  • At least 2 years of experience in an administrative or assistant role, preferably in a legal or compliance environment.
  • Familiarity with legal research, documentation, and filing processes.
  • Strong organizational and multitasking abilities to manage legal and compliance schedules, meetings, and documentation.
  • High level of discretion and confidentiality in handling sensitive legal information.
  • Proficiency in MS Office (Word, Excel, PowerPoint), document management systems, and familiarity with legal databases.
  • Attention to detail.
  • Ability to work independently.
  • Ability to handle pressure and prioritize tasks effectively.
