IT Project Co-ordinator

We are looking for a proactive and detail-oriented Project Co-ordinator to support the end-to-end process from Sales to Delivery in a fast-paced software services environment. The ideal candidate will work closely with cross-functional teams, including Pre-Sales, Sales, Business Development, Solution Delivery, and Client Engagement, ensuring seamless project execution while maintaining strong governance and compliance with SoftwareOne’s project management standards.

Roles and Responsibilities:

Project Coordination & Governance:
Support the end-to-end lifecycle of software projects, from sales initiation to final delivery.
Collaborate with Sales, Pre-Sales, Delivery, and Operations teams to ensure smooth project onboarding and execution.
Support Project Manager to track and manage project timelines, milestones, and deliverables, ensuring adherence to the agreed scope.
Facilitate project governance activities, including status reporting, risk tracking, and compliance with project standards.
Validate project setup in internal systems (e.g. Project Management systems, SharePoint etc.) and ensure accurate documentation for billing and compliance.

Cross-Functional Collaboration:
Coordinate project requirement handovers between Sales and Delivery to ensure seamless project execution.
Work with internal teams to track resource allocation, project dependencies, and risk mitigation strategies.
Assist in preparing client-facing documentation, contracts, and project plans.
Participate in internal kick-off meetings, project governance discussions, and post-project reviews.

Reporting & Continuous Improvement
Generate and distribute regular project status reports (KPIs, financials, risks, resource utilization & billing etc) to leadership and Project Managers.
Contribute to post-project reviews, capturing lessons learned and process improvement opportunities.
Maintain a knowledge base of best practices, templates, and tools to enhance delivery efficiency.
Identify process bottlenecks and contribute to improving delivery frameworks

• Bachelor's degree in Business Administration, Computer Science, or related field.
• 2-4 years of experience in a Project Coordinator / PMO / Delivery Support role in a software service environment.
• Strong understanding of software development lifecycle (SDLC) and IT service delivery.
• Familiarity with project management methodologies (Agile, Waterfall, Hybrid)
• Experience in working with cross-functional teams in sales, pre-sales, and delivery functions with software solutions providers
• Proficiency in project management, communication and document repository tools (JIRA, MS Project, Teams, SharePoint, Confluence etc.).
• Strong organizational, communication, and stakeholder management skills.
• Knowledge of project governance frameworks, risk management, and compliance is a strong plus.
