Description
GENERAL FACILITIES:
Attends and handles resolution of various Facilities related emails during the assigned shift schedule. Escalates issues as necessary.
Provides assistance on company events (i.e. town halls/leadership talks/team buildings) such as AV systems requirements and venue setup etc
Conducts New Employee Orientation and site tour to new hires and GP guests
Assists in Facilities Related Projects as assigned
Attend training sessions as required by the organization
Leads the Implementation of assigned tasks in the 52-Week Facilities Calendar
ASSET MANAGEMENT/SITE MAINTENANCE
Work closely with contractors in the implementation of preventive maintenance and other related equipment activities as assigned according to Facilities 52-Week Calendar. Documents completed maintenance, custodian of reports, evaluates service reports and analyze findings with Facilities Manager, coordination of reported issues from request for quotation, approval, scheduling and implementation.
Leads small projects related to site maintenance as assigned.
HOUSEKEEPING
Works with the team in ensuring housekeeping activities are implemented as scheduled
Ensure good housekeeping of various department is observed on assigned schedule
PHYSICAL SECURITY
Ensure efficient implementation and monitoring of various physical security policies and procedure
Overseeing Daily Security Operations
Ensure compliance and random check and coaching as necessary for the following
> Security Office Log Book
> Security related log sheets
> Key Management
> Bag Inspection
> Customer Service and Proper Grooming
> Handling disposal of company documents
> Parking Inspection
Responsible for CCTV, Badge and other Physical Security related reports.
Assists in the issuance of Incident Report for policy non-compliance. Review and send out email advisory for concerned departments.
HEALTH AND SAFETY
Ensure efficient implementation and monitoring of various health and safety policies and procedure
Conduct scheduled floor walks and random roving activities within the workplace to ensure employees’ compliance to OSH policies, procedures, and protocols
Work with health and safety lead in the investigation and ensure proper documentation of safety-related incidents and violation of safety protocols, and coordinate with HR, Clinic and business unit leaders for prompt corrective action
Assists Health and Safety lead in various activities i.e. annual updating of Health and Safety Committee and ERT Members, Fire, Earthquake, First Aid, etc
Act as floor marshal and first aider in the event of an emergency, such as earthquake or fire, and be the point of contact with the facilities or building safety marshal
In case of natural disasters affecting employees on-and-off-site, act as coordinator and provide support and assistance to affected employees
Day to day workplace safety and health monitoring, operations, and evaluation
COMPLIANCE
Provide support and coordinate as needed for government and non-government facility inspections
Supports Facilities, Physical Security and Health and Safety Compliance requirements (i.e. PCI DSS, SGS, LGU, PEZA etc)
REQUIREMENTS:
At least two (2) years professional experience in facilities, physical security, health and safety management in corporate office or BPO setting
Technical knowledge on Security and Safety Tools i.e. CCURE, Avigilon, Brivo, Eagle Eye preferred
Safety Office 3 with experience in the implementation of ISO45001 Occupational Health and Safety Management Systems preferred.
Strong sense of responsibility and ability to complete tasks with minimal supervision
Above-average spoken and written communication skills with the ability to present, conduct orientation and coordinate with regional counterparts
Detail-oriented, highly organized, professional, with a sense of urgency and the ability to effectively manage conflicting priorities
Experience in implementing business continuity planning, disaster and emergency preparedness,
Proficiency in Google and Microsoft Applications
WORK CONDITIONS:
Must be able to work full time onsite at Vertis North Corporate Centre Tower 2 or 3
Must be willing and able to work on rotating onsite shift schedules, night shifts, extended shifts, weekend, and Philippine holidays
Able to provide off-site/duty support during weekends which also includes answering of query from vendors though issued service phone
Willing to travel
