Pay Range : $1000 - $1500 USD/month (varies based on skill set and experience level)

We’re looking for a proactive and detail-oriented Executive & Personal Assistant to support a busy entrepreneur and his family across a mix of personal, property management, and business-related tasks. The ideal candidate is a strong problem-solver who can take initiative, handle a variety of responsibilities, and work independently without needing constant direction.

You’ll be helping with everything from day-to-day coordination to research projects and vendor communications, a great fit for someone who enjoys variety, thrives on organization, and gets satisfaction from making things run smoothly.

Duties And Responsibilities

  • Handle a range of personal tasks such as booking flights, scheduling appointments, arranging maintenance or home services, and other day-to-day errands.
  • Support property management activities — coordinating viewings, screening renters, communicating with contractors, and managing basic upkeep logistics.
  • Conduct research and outreach, such as finding reliable contractors, comparing vendor quotes, or calling departments (e.g., city licensing or health) for information.
  • Maintain organized records and follow up on ongoing tasks to ensure timely completion.
  • Communicate clearly and professionally with vendors, agencies, and the family as needed.
  • Assist with light bookkeeping (e.g., QuickBooks Online or spreadsheets) and general admin support.
  • Proactively identify ways to simplify or improve workflows.

Minimum Requirements

Language requirement: Excellent English Communication Skills (accent is okay)

Education: Bachelor's Degree (ideally)

Experience: 3+ years of related experience

Industry: Prior experience supporting U.S.-based clients or businesses is an advantage

  • At least 3-5 years of experience in an administrative, executive assistant, or operations support role.
  • Strong English communication skills, comfortable making calls and coordinating with U.S.-based contacts.
  • Excellent attention to detail, organization, and follow-through.
  • Proven ability to manage multiple tasks and adapt to shifting priorities.
  • Resourceful and independent problem-solver — able to make good judgments with minimal supervision.
  • Comfortable using tools like Google Workspace, Excel, and ideally QuickBooks Online (a plus, not required).
  • Prior experience supporting U.S.-based clients or businesses is an advantage
