What Your Work Will Entail:
Meeting Coordination & Agenda Preparation:
- Organize and schedule meetings, ensuring alignment with business priorities.
- Prepare agendas and necessary materials in advance.
- Take detailed notes during meetings and track action items for follow-up.
- Manage calendars for leaders, scheduling appointments, and ensuring efficient time management. wishup.co
- Coordinate travel arrangements and handle expense reporting.
- Organize and maintain confidential files and records.
- Monitor outstanding tasks and deadlines, ensuring follow-through on key initiatives.
- Send reminders and updates to relevant stakeholders.
- Compile and organize data to create reports and presentations.
- Conduct research as needed to support decision-making.
- Act as a point of contact between leadership, internal teams, and external stakeholders.
- Draft and proofread professional correspondence, memos, and emails.
- Assist in planning and executing business projects.
- Coordinate cross-functional teams to ensure project milestones are met.
- Identify opportunities to streamline administrative processes.
- Implement solutions to enhance operational efficiency.
- 3+ years of experience experience as an Executive Assistant, Business Assistant, or similar role supporting leadership and business operations.
- Strong organizational and time management skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills in English.
- Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar) and project management tools (e.g., Asana, Trello, or Monday.com).
- Ability to work independently while maintaining attention to detail and accuracy.
- High level of discretion and professionalism when handling confidential information.
- Experience coordinating across multiple time zones is a plus.
