Job Overview

We are seeking a proactive and detail-oriented Executive Assistant to the CEO - Mandarin bilingual who will play a key role in ensuring the seamless day-to-day operations of the executive office. This position demands exceptional organizational skills, discretion, and the ability to manage multiple priorities with professionalism and poise. You will act as the right hand to the CEO—managing calendars, communications, and confidential matters—while leading administrative support efforts across the executive team. The role also includes overseeing junior staff and coordinating critical projects aligned with strategic business goals.

Your Responsibilities

  • Executive Support & Calendar Management: Organize and optimize the CEO’s schedule, travel arrangements, and meeting logistics to ensure efficient time management and avoid conflicts.
  • Communication & Correspondence: Draft and manage high-level communication, handle sensitive information with confidentiality, and maintain a timely flow of information between internal and external stakeholders.
  • Team Oversight & Coordination: Supervise junior administrative staff, delegate tasks effectively, and ensure smooth operations within the executive support team.
  • Project & Initiative Management: Coordinate and track executive-led projects, ensuring timely execution, thorough documentation, and alignment with company goals.
  • Confidentiality & Professional Conduct: Handle sensitive documents and discussions with the utmost discretion, maintaining trust and integrity in all interactions.
  • Meeting & Event Coordination: Prepare meeting materials, capture minutes, and organize executive-level events and engagements to ensure professional execution and follow-through.

What Our Client Is Looking For

  • A bachelor’s degree in Business Administration, Management, or a related discipline.
  • Fluent in Mandarin (business-level proficiency), with certificates preferred
  • At least 5 years of relevant experience as an Executive Assistant, including 2–3 years in a supervisory or leadership role.
  • Demonstrated success supporting a senior executive, preferably a CEO or President.
  • Excellent communication, interpersonal, and organizational skills.
  • Strong judgment, a high level of integrity, and the ability to handle sensitive matters with discretion.
  • Proficiency in office productivity software such as Google Workspace and Microsoft Office (Word, Excel, PowerPoint).
  • Willingness to work onsite in Bonifacio Global City, Taguig.
  • Open to occasional travel, particularly to rural or underserved locations.
