Executive Assistant
(Remote — Philippines, EST Hours)
Overview:
We are looking for a proactive, detail-oriented Executive Assistant (EA) to support the founder of a creative consulting agency specializing in Amazon brands. This role is ideal for someone highly organized, skilled in Notion, and capable of keeping the founder on track with tasks, deadlines, and client deliverables.
The EA will work 40 hours per week in Eastern Time (NYC hours) and will be responsible for both business and occasional personal tasks. The ideal candidate must be fluent in written and spoken English and comfortable with task management, follow-ups, and occasional client communication.
Key Responsibilities:
Task & Calendar Management:
• Proactively track and follow up on tasks to ensure nothing is missed.
• Manage the flow of incoming calendar bookings and ensure all appointments are organized.
• Keep the founder on track through constant follow-ups via Slack, WhatsApp, and Notion.
• Manage deliverables, ensuring tasks are completed on time.
• Organize Google Meet recordings, summarize key points, and create action items.
Client & Communication Management (25%):
• Monitor emails (but not respond on behalf of the founder).
• Communicate with clients via Slack and Notion to ensure smooth workflows.
• Occasionally make phone calls for scheduling or coordination.
Project & Deliverable Oversight:
• Manage and improve workflows in Notion, streamlining processes where needed.
• Track client payments and renewal dates within Notion (no financial processing required).
• Oversee Canva deliverables, ensuring assets are on track for client delivery.
• Maintain Google Drive organization for assets and files.
Personal Assistance (As Needed):
• Handle personal scheduling, travel bookings, and miscellaneous tasks for the founder.
Required Skills & Experience:
• Proactive & Detail-Oriented — Must stay on top of deadlines and ensure tasks don't slip through the cracks.
• Strong Notion Skills — Able to manage and improve Notion workflows and task management.
• Fluent in English (Written & Spoken) — Will occasionally communicate with clients and handle phone calls.
• Excellent Time Management — Able to juggle multiple tasks and prioritize effectively.
• Experience with Slack, Google Drive, Google Meet, and Canva (for tracking deliverables).
• Comfortable Working EST Hours (NYC Time Zone) — Full-time, 40 hours per week.
• Strong Communication Skills — Must be comfortable reminding and following up persistently via Slack, WhatsApp, and Notion.
Nice-to-Have (But Not Required):
• Experience with Zapier or Make (automation tools).
• Familiarity with Amazon or e-commerce businesses.
Compensation & Work Hours:
• $6 per hour
• 40 hours per week
• Fully remote (must work Eastern Time (NYC hours))
