Coordinator, Logistics

Do you have good coordination skills and can juggle multiple projects simultaneously?

Are you someone who keeps track and document all transactions completely?

Are you someone who works proactively to determine customer needs?

As the Logistics and Travel Coordinator, you will report to the Senior Procurement Manager and hold the critical role of providing day to day support for the Vice President of Shared Services. You will make travel arrangements including scheduling flights, ground transportation, booking accommodations and handling other trip related tasks.

Responsibilities

You will have an opportunity to…

  • 24/7 monitoring of flights both international and domestic (all sites)
  • Travel Expense tracking/monitoring
  • Submission of monthly accrual report for travel expenses to Finance for month end closing/posting
  • Statement of account review/checking for all sites (hotels and transport group)
  • Requesting approval for invoice payment
  • Processing all credit card liquidation/transaction and providing all relevant receipt and travel summary for travel expenses
  • Requesting for Quote and providing cost estimate for travel (bargaining for lower rate as much as possible)
  • Hotel tie-ups and negotiations
  • Providing accurate travel documents and itinerary for travel both international and domestic flight including ground transportation and hotel accommodation.
  • Processing out of the pocket expense report
  • All AD-HOC tasks as required

Qualifications

  • Must be extremely organized and able to multi-task in a very fast paced and stressful environment
  • Outstanding written and in-person English communication
  • Ability to develop strong working relationships with all levels of individuals is essential
  • 2+ yr receptionist and/or administrative support experience will be seen as an asset
  • Candidate must possess at least a High School Diploma
  • Willing to work at Taytay location (SM Taytay IT Park, East Manila Road)
  • Willing to work Full Time in a 24/7 operation (possible evening, weekend and holiday work may be required).
