Role Overview
Workplace Safety Screenings (WSS) is seeking a Clinic Set-Up Associate whose primary responsibility is to add clinics to our national clinic database. Using excellent communication, strong follow-up skills, sense of urgency, and attention to detail.
Job Responsibilities
Expand WSS’s national clinic network, with urgency and accuracy. Establish contact with a clinic, ask the clinic manager to complete WSS’s clinic contract/set-up document, and enter it into the clinic database timely. Clinics should be completely set up within three (3) but no more than five (5) business days from the date of request, other requests might be more urgent. This includes:

Clinic Set-up – Completed within three (3) but no more than five (5) business days from request.
- Contacting the clinic and requesting that they join our network by completing the WSS’s clinic contract/set-up document and returning it within 24 hours (ideally),
- Entering the clinic information into the clinic database; contact, address(s), emails, phone numbers, etc.
- Upon receiving the completed WSS’s contract/set-up document accurately enter the information into the Clinic Database. Attach the contract and file it in the Clinics folder.
- Attach the Clinic’s W9 and file it in the clinic's folder.
- Identify clinics with collectors available 24/7/365 for scheduled or urgent testing needs.
- Create or update the clinics vendor card in NetSuite.
- Provide the ACH Form to the finance manager.
- Track the progress of each clinic set-up so a clinic is not overlooked.
- When a clinic is not responding timely, reach out daily. If there is no response within five business days, involve your manager.
- Perform annual check-ups to ensure pricing consistency and compliance, including W-9 forms and other regulatory documentation.
- Keep records of the clinic audits – ensuring after-hour requirements are met and/or any clinic errors are tracked.
- Collaborate with sales teams, internal account specialists, and external clients to identify and onboard clinics as needed.
- Strong English communication skills (written and verbal).
- Ability to work primarily independently, but with a team as required.
- Excellent organizational skills, with a sense of urgency and attention to detail.
- Proficiency in data entry and ERP systems.
