About the role:

The Claims and Dealer Administration Specialist is responsible for ensuring the timely and accurate financial and administrative management of the national Agent and Dealer network. This role primarily focuses on the investigation and processing of complex customer credit claims and billing adjustments while providing essential, high-volume administrative support to maintain compliance, efficiency, and exceptional customer service standards.

Key Responsibilities

Claims and Financial Integrity

  • Investigate and resolve customer credit claims, service disputes, and billing issues thoroughly and efficiently, ensuring all investigations and approvals align with established business processes and internal policies.
  • Approve credits and account adjustments within the Pronto ERP system.
  • Engage proactively with internal stakeholders (Branches, Customer Service, Accounts Receivables) to verify data and complete comprehensive claim investigations.
  • Maintain comprehensive records of all investigations, findings, and outcomes to support audit and compliance requirements.
  • Monitor claim trends, escalating systemic billing or process issues to management for resolution or improvement initiatives.

Dealer and Agent Administration

  • Ensure all Dealer and Agent administration is managed accurately and timely, adhering to company requirements.
  • Manage critical ongoing national administration tasks, including debtor administration, manual docket processing, new account setups, and general queries.
  • Manage the complex cylinder and account reconciliation processes for Dealers and Agents.
  • Ensure all End-of-Month (EOM) activities related to Dealers and Agents are completed accurately and in a timely manner.
  • Monitor and manage resolution of all incoming email queries related to Dealers and Agents and their customer accounts.
  • Manage print system-related stationery requirements (e.g., Docket books) for Agents and Dealers.

Process Improvement and Compliance

  • Collaborate with the broader Corporate Admin team to assist with Pronto ERP system improvements affecting Dealer and Agent accounts and claims management. This includes requirements gathering, testing of changes, error resolution, and product setup.
  • Challenge the status quo and promote best practice and continuous improvement across all administrative and claims processes.
  • Ensure adherence and respect for all Supagas policies, procedures, and relevant Australian State and Federal Laws.

Safety and Culture

  • Embody the Supagas Safety Vision: "Think SAFE, Work SAFE, Live SAFE," and actively participate in safety initiatives, including facilitating risk assessments (RFSR, HAZOP, MOC, HAZID) and participating in the Emergency Response Plan (ERP).
  • Represent Supagas in a positive and professional manner, recognising the primary role as a key contact for both internal and external customers.
  • Communicate and promote the Supagas philosophy of customer satisfaction through the "Yes We Can" value commitment.
