What You'll Do

The Business Executive supports the local Office Manager/Team Lead in the management of local office operations and facilities. The role requires leadership as well as an individual who is hands on, willing to roll his/her sleeves up and get the job done. This role will operate in a matrix structure– daily working with a senior local team in delivering high level of services but at the same time, able to work with the local Office Manager/Team Lead and deliver on agreed more strategic priorities.

The key aspects of this role which is demanding and fast paced covers the following areas:

  • Office operation and facilities management
  • Management of Visa/Work Permit/Employment Pass Application
  • General HR & Administration
  • And other new tasks that may assign by the line manager

YOU’RE GOOD AT

Office Operation & Facilities Management

Overall Responsible For

  • House Keeping services (cleanliness & aesthetic space management)
  • Inventory of stationery and pantry supplies
  • Repair & maintenance of office equipment
  • Maintenance of overall office infrastructure (carpets, flooring, plants, etc)
  • Arrange Friday lunches and HODs
  • Meeting room & visitor management
  • Liaison with building management and other relevant vendors/service providers
  • Internal & External events held in office
  • Facilitate payment approval of local vendor invoices
  • Manage vendor relationships to ensure service quality and commercial competitiveness
  • Maintain vendor records and office subscriptions renewals
  • Coordination with building management on building related issues
  • Manage Seating plans
  • Coordinate office renovations/office moves
  • Liaison with Insurance Broker on renewal of office insurance (All Risks, Fire & Perils & Public Liability)
  • Accommodation allocation & flight bookings for SEA conference/Outing Events – All Hands
  • Supervision of Office Assistants and overtime hours (if applicable)
  • Emergency & evacuation procedures – update local crisis management plan & facilitate fire drills & BCG Emergency Alert System
  • Coordination of EA back-up
  • Update local office facebook on monthly basis
  • Liaison with BCG panel hotels in Manila on fly-ins accommodation
  • Other operations projects that may be assigned from time to time
  • Management of Petty Cash
  • Support bulk printing request for case team and L&D

Management of Visa/Work Permit/Employment Pass Application

  • Supporting the application of visa/work permit/employment pass for fly-ins and new joiners
  • Coordinate submission of annual work permit/employment pass slots with appointed external agent
  • Provide update on government regulations related to work permit process or requirement

General HR

Works with local and SEA HR team to provide the following local office HR coordination and logistical support:

  • Health Insurance
  • Social Security Fund
  • Coordination of on-boarding program and procedures for new hires
  • Coordination of exit procedures for resignees
  • Work permit – application and tracking of work permits for non-Philippine employees
  • Other HR projects that may be assigned from time to time
  • Country Provident Fund – Addition/Termination

What You'll Bring

  • College or Bachelor’s degree in HR, Business or related fields
  • Ideally, 3 or more years of work experience gained in a professional services firm or similar fields such as office administration or human resources.
  • Excellent written and spoken communication skills
  • Team player yet able to work independently, with demonstrated ability to be flexible, responsive and to take initiative
  • Demonstrate strong interpersonal skills – able to work effectively with all levels of staff
  • Strong organizational skills, ability to set priorities, display attention to details and is tenacious with follow-ups
  • Strong customer service orientation
  • Able to multi-task in a fast-paced, service oriented environment
  • Consistently handle situations with tact and patience, and able to work well under pressure. Convey a strong, positive and professional disposition with excellent standards of professional behaviour and ethics
  • Computer literate with good Word, Excel, PowerPoint skills and Microsoft Outlook
