Role Overview
The primary responsibility of the Brokerage and Investigation department is to support the business for the administration of brokerage rates for our Global Broking and Energy & Commodities businesses . The department is composed of three key functions, all of them are closely linked together and all team members will be trained to perform all key functions:
documentation of our fee schedules, including the management of electronic agreements via third party industry systems
(ii) maintenance of those fees into our systems
(iii) investigation of queries raised on our invoices.
In addition to working with your colleagues in Brokerage and Accounts Receivable, and other teams within TP ICAP, t his is a client facing role where you will interact directly with clients on brokerage related queries. As such it may be necessary for the successful candidate to work on a shift pattern, and potentially local public holidays, in accordance with the clients they manage, and appropriate deadlines .
Role Responsibilities
General
Day to day supervision of team members based in Manila, but covering Global Clients, in multiple locations
Provide leadership, direction, advice and guidance to the team, to maintain high levels of integrity, motivation and morale
Organise 1:1 and team meetings
Ensure that staff skills or knowledge gaps are met with appropriate training and development so staff can perform their roles to their maximum capability and fulfil their potential
Ensure all staff who report to you are aware of how to escalate any issues which may arise
Identify issues and escalate to senior management as appropriate
Build a professional working relationship with clients and TP ICAP employees
Ensure team members meet their key targets as agreed with management .
Ensure that processes are documented and, where possible, that processes are aligned, across business lines and entities.
Be responsible for the evolution of the function, and any improvements of processes.
Assist manager with Audit overviews and queries.
Brokerage Management :
Provide central documentation for all brokerage rates
Ensure the proper documentation and storage of the agreed brokerage rates, adhering to company standards in terms of approval and governance , including the interaction with and management of documents (“Give Up Agreements”) within third party industry applications.
Respond to requests from customers, business, Chief Pricing Officer, other support departments and audit for new, amended or copies of current fee schedules or venue rate cards.
Notify appropriate personnel within the firm as well as customers of new/amended agreements.
Engage with relevant departments to automate the brokerage rates or ensure that a manual process is implemented.
Liaise with clients to follow up on their queries, send them relevant brokerage letters.
Brokerage Data Management :
Responsible for the translation of the fees detailed in the brokerage agreements, into the relevant brokerage data systems, for all relevant products.
Input brokerage fees in the relevant systems for new/ amended rates and discounts.
Perform 4/6 eyes checks for the new rates input and regular ad-hoc checks on discounts and rates to ensure reliability of our data.
Suggest technical enhancements to the systems and work towards centralisation of the brokerage rates.
Customer Investigation :
Ensure the effective and efficient management of trade investigations raised by clients following the review of their invoices, liaising with appropriate departments to solve them.
Perform the brokerage checks requested by the audit.
Track and analyse the transactions where brokerage has been input manually.
Suggest improvement to the systems and processes.
Design and implement reconciliations and MI/KPIs to support our business and evidence controls
General:
Experience / Competences
Essential
Leadership experience in a relatable environment, interacting with stakeholders across multiple functions and locations
Experience working in the financial services sector
Experience of dealing with complex client queries
Understanding of end-to-end process and flow of data from upstream systems to Finance
Skilled in the use of all Microsoft Office applications.
Experience of reporting in a KPI driven environment
Experience of processing in a controls environment and evidence of controls process improvement
Experience of working in a Corporate/large firm environment
Demonstrated ability to build strong relationships across functional areas and with global colleagues.
Ability to analyse problems, propose remedies and implement a solution
Ability to react to changing requirements and adjust processes and approach
Ability to work to tight deadlines and demonstrate initiative
Strong organisational and project management skills
Excellent written and oral communication skills
Desired
Knowledge of the financial markets and financial regulation affecting brokerage rates including Dodd Frank (CFTC / SEF) , and MiFID II etc.
