About The Role
As an Administrative & Support Officer, you will assist the Division Head in maintaining order and in monitoring and implementing Bank’s/internal policies relating to hiring and onboarding, providing access, house rules, employee engagement activities, and among others. You will handle administrative tasks for Financial Control Division. You will work with and support the department heads in hiring requests with close coordination with HR business partner/s. Also, you will handle payments to certain counterparties, release BIR Form 2307, EWT queries, and Withholding Tax Monitoring System v3 requests, queries, and testing activities for enhancement.

As an Administrative & Support Officer, you will assist the Division Head in maintaining order and in monitoring and implementing Bank’s/internal policies relating to hiring and onboarding, providing access, house rules, employee engagement activities, and among others. You will handle administrative tasks for Financial Control Division. You will work with and support the department heads in hiring requests with close coordination with HR business partner/s. How You'll Contribute
- New hires, consultants, and contract employees’ requirements management
- Leads and collaborate with Division and Department Heads for various team engagement (Summer Outing, Team Building, Christmas Party/Year-end party, Townhall, Catch up) activities
- Drive completion of ad hoc activities impacting the Division
- Ensures all access (NT, VPN, O365) and Oracle issues are addressed and endorsed to proper IT team
- Oversee and distributes available laptops, extra memory, headphones, and chargers for the Division
- Manages calendar of the Division Head (including the scheduling of the review of financial statements with Senior management, monthly F2F meeting with Leads, welcome for new hires)
- Coordinates closely with FAD and BSP Reports Department and calendar scheduled review for regulatory reports and management reports
- Releases monthly vacancy and manpower status.
- Prepares/updates Division’s Table of Organization and supports memorandums
- Prepares a timely request for payment of permits and licenses of the bank and its subsidiaries
- Handles petty cash funds and other collections. This may include collections for different departmental activities such as outings, Christmas parties, etc.
- Handles Oracle Purchase Requisition module for Fincon-initiated request
- Tax Support on the Issuance of BIR Form 2307 for FINCON Department and Monitoring of payment to counterparties and Withholding Tax Monitoring System (WTMSv3) Queries and Year end reporting
- Other task that may be assigned from time to time
- At least 2 to 3 years of relevant experience
- Bachelor's degree
- Able to communicate proactively and effectively with all levels of the organization
- Knowledge of web-based applications (Oracle)
- Proficient in MS Office applications and Excel's formula functions
- Posseses the following skills: Analytical thinking. Problem Solving, Effective Time Management, Good Communication
