Why does this role exist?
This position serves as the administrative and HR backbone of our multi-venue organization, ensuring smooth operational workflows while supporting critical human resource functions across our expanding business. The Administrative & HR Specialist will manage essential administrative processes and facilitate comprehensive HR activities, allowing leadership to focus on venue operations and growth while maintaining compliance and operational efficiency.

The Impact you’ll make

Invoice Management

  • Generate, send, and track client invoices

  • Follow up on outstanding payments

  • Coordinate with finance department for payment processing

  • Handle billing discrepancies and issues


Vendor Onboarding & Management

  • Assist in onboarding new vendors, gathering required documentation and contracts

  • Maintain and update vendor records in the company database

  • Communicate with vendors to address queries or issues

  • Ensure compliance with company policies and legal requirements


Administrative Support

  • Manage emails, respond to inquiries, and route messages to appropriate team members

  • Assist with calendar management for managers

  • Maintain digital filing systems and organize important documentation

  • Perform general administrative duties including ordering supplies and handling correspondence

  • Coordinate deliveries and communications with managers and vendors


HR Reporting & Compliance

  • Prepare and maintain HR reports on attendance, turnover, and other metrics

  • Ensure practices comply with labor laws

  • Monitor training completions and certifications

  • Assist with compliance documentation submissions


Onboarding & Offboarding Support

  • Facilitate new hire onboarding processes and documentation

  • Prepare welcome materials and coordinate orientation schedules

  • Manage offboarding tasks including exit interviews

  • Maintain proper documentation for compliance and record-keeping


Performance Review Assistance

  • Coordinate performance review cycles by scheduling evaluations and sending reminders

  • Track employee goals, progress, and feedback documentation

  • Gather feedback from managers

  • Maintain confidential performance records for HR review


Benefits Administration

  • Assist employees with health insurance enrollment

  • Provide information about available benefits options

  • Process workers' compensation claims

  • Liaise between employees, insurance providers, and management



Skills, Knowledge and Expertise

Required:

  • Experience with invoice management and financial record-keeping

  • Knowledge of HR processes including onboarding and benefits administration

  • Familiarity with compliance requirements and documentation

  • Proficiency in digital filing systems and office productivity software

  • Strong organizational skills with ability to handle confidential information

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home

Work Setup:

  • Remote position

  • 40 hours per week


Compensation:

  • $5 per hour
