As an Administrative Assistant, you will perform tasks for the Investment Solutions Group Head. Support admin requirements of the Investment Solutions Group.
How you'll contribute
- Prepares necessary materials and documents needed in the meetings/ appointments.
- Handles correspondence and documents sent through email or via foot messenger to ensure confidentiality, avoid document loss, and provide easy access to restricted information.
- Assist in preparation of reports, research data, and presentations needed by the Group
- Assists in the marketing logistics (distribution of giveaways, etc.) to ensure all necessary approvals are sought and distributed accordingly.
- Manages the Group Head's daily schedule to properly coordinate the daily activities.
- Prepares requirements for SEC and Treasury Certification; internal and external trainings/ seminars to ensure necessary arrangements before the examination, training and seminars were done and payments are processed.
- Processes and manages requests (finance: reimbursements, cash advances, payment requests, IT-related: access helpdesk etc., GSD: Supplies, vendors) via esource to support the day-to-day operations of the group.
- Ensures the group's requirements and logistics organized for appointments, travel, and meetings (venue, transportation, accommodation, etc.,) to support the group/ officers in their work schedules
- Files and summarizes documents (receipts, reimbursements, etc.)
- Monitors user access to third-party systems through excel to maintain the group access master file.
- Maintains the filing system of the group through organizing and proper labeling to match the 7s standards.
What we're looking for
- Graduate of a Business Studies/Administration/Management, Commerce, Economics, HR Management, Marketing, Mass Communications
- Must have 2 years and up relevant experience
- Has knowledge on office procedures, online calendars, and in using office equipment, including printers and fax machines. Knows how to use Microsoft Office.
- Can work with other executive assistants and other departments that deal with Investment Solutions Group.
- Good verbal and non-verbal communications skills, problem-solving skills, and time management skills.
- Can do administrative tasks.
- Able to multitask, organize, collaborative, think quick, and react fast.
- Must be proactive and fast learner.
- Able to prepare and provide reports in a timely manner.
- Ability to help the unit attain income & volume targets.
