Your Role:

Position Summary

The Administration Assistant provides critical support to insurance brokers by managing client records, ensuring smooth workflow processing, and handling key back-office administrative tasks. This role requires precision, strong coordination, and a commitment to service excellence in a fast-paced brokerage environment.

Key Responsibilities

  • Set up and maintain client records, including filing and updates in data systems
  • Enter and process data for renewals, referrals, endorsements, new business, cancellations, and premium funding via systems such as WinBEAT, SUNRISE, SVU, and OT
  • Set up new files, take meeting notes, and track processing statuses on renewal spreadsheets
  • Monitor task progress via the Office Tech Task System
  • Adhere to regulatory requirements on privacy, data security, and confidentiality
  • Communicate and engage with brokers to provide timely administrative support
  • Maintain high service standards and confidentiality at all times
  • Handle general office administrative tasks and participate in meetings through brokers’ preferred platforms
  • Support branch banking processes such as pre-renewal handling and refund invoicing
  • Work collaboratively with onshore broker assistants to meet service level agreements
  • Embrace and apply best practices in a dynamic insurance brokerage setting

What You Need:

Non-negotiables

  • Previous experience in administrative support, preferably in insurance or financial services
  • Familiarity with systems like WinBEAT, SUNRISE, SVU, or OT
  • Strong attention to detail and data entry accuracy
  • Excellent communication and coordination skills
  • Ability to manage confidential information responsibly

Preferred skills/expertise

  • Experience supporting compliance or documentation-heavy environments
  • Exposure to workflow/task systems and data tracking tools
  • Proficiency in Microsoft Office applications
  • Strong organizational and time management skills
  • Comfortable working in hybrid teams and adapting to onshore coordination
