The Admin Coordinator will be the behind-the-scenes powerhouse, managing vendor documents, insurance records, and accounting inboxes to ensure our bookkeeping team can focus on high-value client work. This role is vital for keeping client records accurate, compliant, and ready for processing.
Key Responsibilities
- Monitor and manage client accounting email inboxes.
- Review incoming bills from subcontractors; verify and request missing W-9s and Certificates of Insurance (COIs).
- Upload vendor documents and bills into our app and QuickBooks for client approval.
- Maintain organized and up-to-date digital filing systems.
- Assist with 1099 preparation and insurance audits.
- Collaborate with bookkeeping and accounting managers to support smooth client operations.
- 3 or more years in an administrative or virtual assistant role (accounting or construction industry experience a plus).
- Strong written and verbal English communication skills.
- Excellent organizational skills and attention to detail.
- Proficiency with cloud-based tools (QuickBooks experience a plus, but training provided).
- Ability to work night shift (U.S. business hours) from the Philippines.
- Reliable home internet connection and dedicated workspace.
- Full time, fully remote work.
- Competitive Monthly Salary at USD $900 to $1,100 (based on experience).
- Paid Time Off. 18 days annually (includes vacation, sick leave, and holidays).
