The Admin support role is responsible for supporting the Business Support Officer in New Zealand (BSO NZ) especially for overflow admin tasks to support the smooth operation of the Better Days’ NZ office.
Your day-to-day tasks include

The Admin support role is responsible for supporting the Business Support Officer in New Zealand (BSO NZ) especially for overflow admin tasks to support the smooth operation of the Better Days’ NZ office.
Your day-to-day tasks include
- Support BSO NZ with calendar management, schedule appointments and manage diaries for stakeholders
- Provide overflow operational and administrative support to National Manager as required under the guidance of the BSO NZ.
- Organise & update client files uploading documents such as PDFs and word documents
- Monitoring of PMS (Gensolve) including checking appointments have been completed and charge lines entered
- Referrals inbox (Outlook) and uploading referrals as per Better Days NZ process along with uploading supporting documents
- Manage voicemails from the Zoom landline phone system and passing on to relevant Better Days parties (no direct phone answering required)
- Assist with managing overdue invoices and HELD payments with ACC- working with BSO-NZ
- Organise receipts for credit card transactions ready for loading to Xero
- Checking reimbursements from employees, saving to Sharepoint, and ensure receipts match the files
- Audits of PMS (Gensolve) files against criteria listed
- Running basic reports from Gensolve PMS
- Support with maintaining databases including data entry to excel
