Job Overview:
The Advisory Board Moderator is responsible for facilitating and coordinating Zoom meetings between CEOs and their Advisory Boards, ensuring productive and well-organized sessions. This role also supports the Peer Advisory Board Program by engaging industry-leading speakers and thought leaders, facilitating meetings, and managing post-session follow-ups. The moderator will ensure a seamless experience from meeting preparation to post-session updates.
Key Responsibilities:
Meeting Coordination:
- Assist in scheduling and organizing Advisory Board meetings.
- Conduct confirmation calls with board owners and send confirmation emails to participants.
- Prepare meeting agendas, documents, and resources.
- Coordinate with the technical team for seamless Zoom setup and execution.
Meeting Facilitation:
- Conduct Zoom meetings, ensuring adherence to the agenda and objectives.
- Ensure all participants have the opportunity to contribute to discussions.
- Facilitate meetings by introducing Board Owners, managing Q&A sessions, and ensuring a smooth event flow.
- Monitor Advisor engagement and address any technical or logistical issues in real-time.
- Provide support to the Board Owner during the meeting, ensuring they have the necessary resources.
Post-Meeting Follow-Up:
- Compile meeting minutes, action items, and attendance lists.
- Create a summary PDF for the board owner, including a meeting summary, strategic action items, attendance list with linked profiles, and chat log.
- Update the boardroom with post-session details, including the minutes and session summary.
- Distribute post-meeting documentation to participants.
- Gather and analyze feedback for continuous improvement.
Peer Advisory Board Speaker & Thought Leader Outreach:
- Research and identify potential speakers and thought leaders for meetings.
- Conduct discovery calls with potential speakers and evaluate their fit by researching them on LinkedIn and other platforms.
- Maintain a database of potential speakers, including their expertise, contact details, and speaking history.
- Craft personalized outreach messages to potential speakers, clearly conveying the goals of the meeting
- Highlight the benefits and opportunities for speakers participating in the meeting series.
Peer Advisory Board Speaker Preparation & Coordination:
- Collaborate with confirmed Peer Advisory Board speakers to develop presentation content and materials.
- Provide speakers with detailed information about the audience, format, and technical requirements.
- Announce Peer Advisory Boards and keep on top of speakers to ensure speaker readiness.
Peer Advisory Board (PAB) Support:
- Create and manage posts for Peer Advisory Boards (PABs).
- Facilitate PAB meetings, ensuring productive and engaging discussions.
- Conduct topic research for PAB sessions to ensure relevant and timely content.
- Occasionally host networking events for the PAB network.
Qualifications:
- Strong communication and facilitation skills.
- Experience with Zoom and other virtual meeting platforms.
- Ability to engage with high-level executives and thought leaders.
- Excellent organizational and time-management skills.
