Places exists to keep Ubiquity’s sites clean, compliant, and fully operational so that the business can run without disruption. The function owns the physical environment our people work in, ensuring building systems and day-to-day site operations are dependable across every location.
The Places Manager owns admin and facilities operations end to end across the Manila and Laguna sites. This role is equal parts leadership and execution: building and developing the on-site teams, managing budgets, vendors, and projects, and partnering closely with Ops,
Finance, Legal, and Construction teams to keep sites running smoothly and to support business growth and expansion.
Responsibilities
● Lead and coach the team responsible for day-to-day facilities and admin operations across the Manila and Laguna sites, including Places Site Leads, Facilities Engineers, and Admin Specialists, plus contingent workers supporting 24/7 operations.
● Build and develop a high-performing, well-motivated team, fostering teamwork, accountability, and strong morale, and enabling the training and growth of team members.
● Serve as the primary point of contact for admin and facilities operations across the Manila and Laguna sites, managing planning, operations, and maintenance service delivery across multiple locations.
● Develop and administer planned preventive maintenance programs, and ensure reactive maintenance, downtime, and breakdowns are resolved promptly and within agreed SLAs, escalating as appropriate.
● Lead the planning and execution of minor moves, restacks, renovations, upliftment, and ad-hoc projects, partnering with Ops, Finance, Legal, and Construction Project teams on growth and expansion initiatives.
● Liaise with landlords on matters relating to the premises, and coordinate facilities escalations, events, and project liaison work.
● Lead the management of transportation and shipping services, including vendor liaison, and conduct regular facilities operations audits.
● Partner with clients, leaders, and staff to deliver strong workplace experience and sustainability programs, and engage regularly with business unit stakeholders to ensure satisfaction through excellent facilities planning, advice, and support.
● Manage vendor and contractor relationships, running regular performance reviews and ensuring services are delivered on time, within budget, and to agreed standards.
● Manage facilities contracts end to end, monitoring contract expiry and flagging renewals or re-tendering to the Procurement team, in line with approved guidelines and industry pricing benchmarks.
● Manage operational CAPEX and OPEX budgets and actual spend, partnering with Finance and Accounts Payable to keep payments current and to prepare the annual budget and monthly variance reporting.
● Track savings and variances across monthly finance reporting, and surface cost-efficiency opportunities including energy and water conservation.
Qualifications
Education & Experience
● Bachelor’s degree preferred, in a relevant field, or equivalent experience.
● 5 to 8 years of facilities and administration management experience, including leading multi-site operations and managing teams.
● Hands-on knowledge of building systems (HVAC, generators, electrical distribution, fire protection, and general building maintenance) gained through operations, maintenance, or project management.
● Experience across staffing, selection, training, coaching, and performance management.
● Certified Lean Six Sigma Yellow Belt (CLSSYB) is an advantage.
Skills & Competencies
● Strong leadership and people management, able to motivate and align teams at different levels of the organization.
● Solid financial acumen, comfortable managing CAPEX and OPEX budgets, variance reporting, and the calculations behind facilities finance (percentages, fractions, and cost modeling).
● Vendor and contract management, with the ability to hold suppliers to SLAs, timelines, and budget.
● Familiarity with energy and water conservation and broader sustainability initiatives.
● Strong organization and an inquisitive, problem-solving mindset.
● Clear written and verbal communication with internal and external stakeholders.
