Salary Range: up to ₱70,000

Work Setup: Onsite

Shift Schedule: Day Shift

The role

The Head of Administration leads the organization’s administrative, facilities, and asset management functions to ensure a safe, efficient, and productive work environment. This role oversees office operations, facilities, assets, vendor partnerships, compliance requirements, and administrative services, enabling employees to perform their roles effectively while supporting business continuity and operational excellence.

Your Responsibilities

  • Direct and oversee daily office and facility operations, ensuring workspaces are safe, functional, and well-maintained.
  • Manage office space planning, facility maintenance, workplace improvements, and compliance with health and safety standards.
  • Oversee company assets, office equipment, furniture, supplies, and vehicle fleet, ensuring proper utilization, maintenance, and recordkeeping.
  • Lead vendor and contractor management, including service providers, maintenance partners, security, and office supply vendors, while monitoring service quality and contract compliance.
  • Manage administrative support services, including correspondence handling, visitor management, travel and logistics coordination, meeting room scheduling, and employee workplace support.
  • Coordinate onboarding requirements by ensuring new hires have access to necessary office resources, equipment, and facilities.
  • Support business permit administration and monitor lease agreements for offices, warehouses, and other company facilities.
  • Ensure compliance with applicable regulations, internal policies, workplace safety requirements, and risk management standards.
  • Develop and implement emergency preparedness and business continuity measures in coordination with relevant stakeholders.
  • Manage departmental budgets, control administrative and facilities-related costs, and drive operational efficiencies across office services and asset management.

What We're Looking For

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 10 years of experience in administration, facilities management, asset management, or related functions, with at least 3 years in a managerial capacity.
  • Strong background in office operations, facilities management, asset control, and administrative support services.
  • Knowledge of regulatory compliance, workplace safety, risk management, and business continuity practices.
  • Proven leadership, stakeholder management, and team supervision experience.
  • Excellent organizational, problem-solving, and communication skills.
  • Proficiency in Microsoft Office applications and office management systems.
